POSITION SPECIFICS

Are you an organized, detail-oriented professional who thrives in a fast-paced environment? We are seeking an Intermediate-Level Administrative Assistant to support our Penn State Information Technology (PSIT) team. This role is a vital part of our large unit, providing the operational backbone that helps our teams function efficiently and effectively.

The position is based at the University Park Campus; however, flexible work arrangements, such as hybrid work opportunities, may be considered. Questions related to flexible work should be directed to the hiring manager during the interview process.

RESPONSIBILITIES

Manage office supplies and inventory by ordering, organizing, and distributing essential materials.

Oversee scheduling and booking of meeting rooms and other resources.

Maintain accurate and updated information on internal websites.

Schedule meetings, appointments, and events for staff and teams.

Coordinate event/meeting planning, including catering, venue arrangement, and invitations.

Arrange travel.

Oversee administrative responsibilities related to onboarding and offboarding.

Software management.

Coordinate search committees, manage logistics, communications, and candidate scheduling as part of the hiring process.

REQUIRED QUALIFICATIONS

Proficiency in Microsoft Office tools (Word, Excel, Outlook, Teams, etc.)

Ability and willingness to learn new software and internal systems

Strong attention to detail and organizational skills

Clear, professional written and verbal communication

Ability to work independently and collaboratively within a team

PREFERRED QUALIFICATIONS

Proven adaptability in a dynamic work environment

Experience with scheduling tools and calendar mangement

Customer service mindset with a proactive approach

Strong time management and ability to prioritize multiple tasks

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 – $55,500.00.
