Office Administrator
This is a high-level Office Administrator position at Stetson Bentley Real Estate, a fast-paced and growing real estate company. We have one of the best environments and work culture in the industry. Effective verbal communication, written communication, and leadership skills are a must.
Principal Accountability:
The position will report to the Owners and Managing Broker
Minimum Qualifications:
2 years of previous office administration and/or management experience required
Proficient in Microsoft Word, Excel, and PowerPoint
Excellent verbal and written communication skills
Strong leadership and organizational skills
Social media knowledge
Ability to lead training and speak publicly
Experience with Google Suite
Responsibilities:
Provide concierge customer service to our agents, staff and visitors
Handle sensitive and confidential information with discretion
Learn all current software solutions being used by the brokerage. Train agents and staff when necessary
Maintain some of SB’s financial systems. This includes, but is not limited to, paying invoices, assuring the collection of commissions, and maintaining and generating financial reports and commission deposits for the company
Ensure accurate commission disbursement, DAs, and compliance, and generate financial reports
Keep all operation manuals and standard manuals that document all systems and standards updated
Coordinate the purchase, installation, and maintenance of all office equipment
Must be a flexible team player
Provide reporting to Owners on a regular basis (TBD on weekly or biweekly basis)
Work closely with title companies, SB CPA, and staff
Maintain all compliance and transactions for the brokerage
Provide accurate DAs in a timely manner to title companies, teams, individual agents, and SB CPA
Compile and process all necessary documents and paperwork for licensure, incoming agents, recruitment packets, and onboarding of new agents
Coordinate agent needs such as, but not limited to, technical help, Dotloop, printers, social media, setting up conference room for agents, training and tools
Compile, copy, sort and file records of office activities, business transactions and other activities as assigned by agents
Address, send, receive and distribute all mail, e-mail, memos, letters, and other correspondence
Handle supply management such as ordering new signs, business cards, office supplies, marketing materials, and office materials
Event planning
Attend some offsite meetings and events (some evening events required)
Maximize office productivity through proficient use of appropriate software and processes
Maintain an office filing system, Google Suite, and spreadsheets
Update and maintain office policies and procedures
Research and develop resources that create timely and efficient workflows
Coordinate and schedule meetings for Owners, Managing Broker, Marketing Director, and Expansion Coordinator when needed
Assist with minutes during meetings when needed
Handle the day-to-day operations of the brokerage
Regular, physical attendance on a predictable basis is essential to the performance of this job
Open and close office daily
Physical demands/working conditions: some lifting, long periods of standing and/or sitting
Work hours and location: Monday – Friday 8:30 AM to 5:00 PM at office in Edmond, Oklahoma
Salary: $40,000 – $45,000 annually (based on experience)
Benefits: 2 weeks paid time off (this includes vacation and sick leave)
