Nomada is a leading event management company with a 20-year legacy of excellence. Based in Dubai, we specialize in crafting memorable experiences for a diverse range of clients. We are seeking a dedicated Administrative Manager and Secretary to join our dynamic team.

Role Overview:

We are looking for an experienced and highly organized Administrative Officer to oversee and streamline office operations in a digital-first environment. This role involves managing the day-to-day activities of the office, handling digital communications, coordinating employee matters, performing administrative tasks, and liaising with financial and legal departments. The position reports directly to the General Manager and the CEO.

Key Responsibilities:

Office Management: Organize and maintain digital office systems and procedures to ensure smooth, remote-friendly operations. Set up internal meetings, manage cloud-based calendars, and follow up on task progress.

Administrative Tasks: Manage correspondence via email and digital platforms, prepare reports, and assist with documentation using collaborative tools (e.g., Google Workspace, MS Office 365).

Financial & Legal Liaison: Coordinate with external financial and legal services for compliance and digital record-keeping.

Employee Management: Handle employee-related matters including onboarding, digital attendance tracking, and document archiving.

Support to Leadership: Provide full administrative support to the General Manager and CEO, including digital scheduling, coordination of online meetings, and document management.

Qualifications:

Proven experience in a similar administrative or secretarial role, ideally in a tech-savvy or remote-first company.

Strong digital literacy is essential — our company operates in a fully dematerialized (paperless and cloud-based) environment, so you must be comfortable managing all tasks through digital tools and platforms.

Proficiency with office software and collaborative platforms (Word, Excel, PowerPoint, Outlook, Teams, OneDrive etc.)

Excellent organizational and multitasking skills.

Strong communication skills, both verbal and written.

Familiarity with financial and legal administrative procedures is a plus.

Ability to work independently, prioritize tasks, and handle confidential information.

Fluent in English (additional languages are a plus).
