Job Summary:
The Front Desk Receptionist at AWA serves as the face of the company, ensuring a welcoming and professional environment for clients, visitors, and team members. This pivotal role supports the smooth operation of AWA’s office by managing reception duties, coordinating and planning company events, supporting project and financial teams, and providing administrative support.
Key Responsibilities:
Front Desk Reception & Client Engagement
Welcome clients, visitors, and vendors in a professional manner.
Answer, screen, and route calls appropriately.
Serve as a liaison between visitors and staff, providing helpful information about AWA.
Manage visitor check-ins and implement security protocols.
Receive and manage office mail, packages, and courier services.
Company Event Planning & Coordination
Schedule company meetings, book conference rooms, and prepare meeting materials.
Plan and organize office events (e.g., monthly birthday lunches, quarterly company activities, leadership meetings, etc.): send invitations, reminders, decorate the office, order food, etc.
Project & Financial Team Support
Assist financial and project operation teams in managing projects in company financial software (Ajera), including budget tracking, printing reports for billing, etc.
Assist in depositing checks and managing office bills.
Assist teams with data entry, document management, timesheet tracking, etc.
Office Maintenance & Misc. Admin Support
Maintain a clean and organized front desk, lobby, and lunch/breakroom.
Stock supplies, water plants, and ensure conference rooms are tidy.
Coordinate employee recognition programs (e.g., employee of the month).
Coordinate client gift and engagement programs.
Run errands and assist with deliveries or pickups as needed.
Provide additional front office and administrative support as needed.
Qualifications:
Education & Experience:
High school diploma or equivalent; an associate degree is a plus.
At least 1 year of experience in a receptionist, customer service, or office administrative role.
Experience in event planning, financial/administrative assistance, or project management is a plus.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with office equipment and multi-line phone systems.
Skills with financial software and billing/invoicing processes is a plus.
