ADMINISTRATIVE OFFICER III (SURVEYOR, LIFE SAFETY CODE) Jobs in Columbia, MD at State of Maryland

We are seeking a proactive and highly organized Executive Assistant to support our growing team in Casper, WY. This role will provide direct support to our Chief External Affairs Officer (CEAO), manage scheduling and logistics across the executive team, and handle key office management responsibilities. The ideal candidate will be resourceful, detail-oriented, and capable of managing a variety of priorities across internal and external-facing activities.

1. External Affairs & Project Support (50%)

Work closely with the CEAO to support outreach, communications, and external marketing efforts.
Assist in preparing presentations, reports, and materials for public and stakeholder meetings.
Conduct research and coordinate logistics for special projects, partnership initiatives, and community events.
Track deadlines and follow up on external engagements, media opportunities, and marketing campaigns.
Help maintain the company’s digital presence, such as updating social media and website content as needed.

2. Scheduling & Executive Support (25%)

Coordinate complex scheduling and meeting logistics for the executive team, including both internal and external stakeholders.
Arrange travel itineraries, accommodations, and meeting materials.
Take meeting notes, track action items, and follow up on outstanding tasks.

3. Office & Operations Management (25%)

Maintain an organized and well-functioning office environment, including supplies, vendor coordination, and facilities management.
Own onboarding and orientation processes for new hires.
Help coordinate internal company events, team-building activities, and milestone celebrations.
Manage internal filing systems, reports, and records with discretion and confidentiality.

4. Additional Responsibilities

Serve as a liaison between departments to ensure seamless coordination across initiatives.
Take on special assignments and projects at the direction of the executive team.
Champion a positive, professional, and service-oriented office culture.

Required Qualifications:

Bachelor’s degree in a relevant field required
Be able to work in a start-up environment that demands “wearing multiple hats”
Ability to write reports and business correspondence, as well as the ability to effectively present information and respond to questions from groups of managers and employees
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists
Computer proficiency, including Excel, Word, and PowerPoint
Professional appearance and communication
Self-starter able to prioritize and handle various tasks simultaneously
Able to handle multiple things at once without becoming overwhelmed

Job Type: Full-time

Pay: $60,000.00 – $75,000.00 per year
