Position Description

The Wake Tech Apprenticeship (WTA) Assistant is responsible for providing support to Wake Tech Apprenticeship leaders, coordinators, students, and apprenticeship course o?erings as well as oversight of all administration activities.

Responsibilities and Duties (*Essential Functions)

Manages in take and tracking of new Wake Tech Apprenticeship applicants which includes evaluation of each student application, clear and consistent communication with incoming students via the Wake Tech Apprenticeship email inbox, timely scheduling of competency assessment and connection with Career Navigator.

Meets with potential Wake Tech Apprenticeship students and family members to provide more in-depth understanding of the program during the application process; including how to apply for apprenticeship positions.

Support apprenticeship team efforts in planning and executing hiring events and other community outreach.

Manages initial communication with potential new participating employers to provide an overview of Wake Tech Apprenticeship programs and employer requirements and responsibilities.

Develops relationships with local state agencies such as ApprenticeshipNC in order to comply with USDOL guidelines.

Manages Wake Tech Apprenticeship program social media accounts.

Manages awarded grants including award processing, ensuring compliance with funding requirements, and reporting obligations.

Collaborates with the Wake Tech Testing Center to coordinate competency assessments for incoming Wake Tech apprenticeship students; This includes securing reservations for test dates, procurement and tracking of assessments, and review and tracking of applicant test scores.

Manages procurement and inventory for the Wake Tech Apprenticeship program; Prepares and processes purchase requisitions for apprenticeship-related supplies, o?ce supplies and maintain order history.

Coordinates travel arrangements for the Wake Tech Apprenticeship program, including registration at local, state, and national conventions and training; prepares travel requests and reimbursement forms.

Works with the Wake Tech Apprenticeship Programs Coordinators as it relates to management of documentation, contractual, and billing needs of all Wake Tech Apprenticeship courses,workshops,and special events including audit ?les, and billing to aid as needed so that tasks are completed in a timely and e?cient manner.

Manages relationships with apprenticeship students, internal employees,and vendors.

Compiles and analyzes data in support for course planning and scheduling, metrics review, Wake Tech Apprenticeship initiatives, and quarterly reporting.

Manages Wake Tech Apprenticeship website to include the WTA Application and Interest forms and maintain accurate program o?ering information.

Actively participates in departmental and relevant apprenticeship meetings.

Develops and presents Wake TechApprenticeshipOrientationmaterialstoincludesvideo(s),PowerPoint presentation, and documents.

Assists with strategic planning to support program growth.

Manages the administration of budget tracking,departmental spending, and con?rms accurate GL codes are utilized.

Serves on work groups in development and revision of administrative Standard Operating Procedures(SOPs).

Provides administrative support for the Wake Tech Apprenticeship Director and sta?.

Attends required meetings and training on site or at other locations requiring overnight or day travel.

Qualifications

Knowledge, Skills & Abilities:

Exceptional attention to detail, a high degree of accuracy, critical thinking, and time management skills

Proficiency in computer skills, including Microsoft Office, Enterprise Resource Planning (ERP) and other internet resources

Excellent written and interpersonal communication skills, ability to adapt communication style to best fit the intended audience

Ability to communicate effectively and remain calm under pressure

Adaptable to shifting priorities

Exceptional internal and external customer service skills

Must be able to work both independently and as an integral member of the team

Ability to travel for required meetings and training at other locations- overnight or day long trips may be required

Ability to adhere to required work schedule 7:30 am – 4:30 pm, Monday-Friday; Flexibility in work schedule with ability to work occasional night or weekend hours, as required

Minimum Requirements:

Associate degree

Two years’ experience in an office environment,

Or an equivalent combination of education and experience

Valid Driver’s license and approval required by the College’s liability insurance carrier

Preferences:

Experience working in a Community College setting

Other experience working in a higher education environment

Knowledge of Colleague and Informer

Familiarity with Salesforce and NCRAN platforms
