About the Role

As Corporate Office Administrator & Executive Assistant with this Fashion-Tech company you will play a pivotal role in ensuring the efficiency, functionality, and overall success of our corporate office and showroom. This role blends office operations, executive support, and project management, requiring strong problem-solving skills, exceptional organization, and a proactive mindset to maintain a smooth and efficient corporate environment.

In addition to managing day-to-day office operations, you will serve as the primary liaison between the CEO and the leadership team, providing high-level executive support. You’ll also work closely with HR to facilitate leadership meetings and events, ensuring seamless coordination and execution. Additionally, you will assist in project-managing the office renovation, helping to create a workspace that aligns with our company’s culture and growth.

Key ResponsibilitiesExecutive Assistance & Leadership Support

Serve as the primary liaison between the CEO and the leadership team, ensuring smooth communication and coordination.
Manage the CEO’s calendar, travel arrangements, and key meetings.
Assist HR with all leadership meetings and events, including: Generating agendas, maintaining meeting minutes, and tracking actionable items through completion.
Coordinating logistics for leadership offsites, team-building activities, and company-wide events.
Ensuring timely follow-ups and execution of decisions made during leadership meetings.
Prepare reports, presentations, and internal communications for executive leadership.
Maintain confidential records, contracts, and compliance documentation.

Office & Facilities Management

Oversee daily office operations, ensuring a productive, organized, and well-maintained workspace.
Manage office logistics, including space planning, seating arrangements, and workplace safety.
Handle office supplies, equipment, and vendor relationships to support operational efficiency.
Ensure compliance with health, safety, and security policies.

Project Management – Office Renovation & Expansion

Assist in managing the office renovation project, coordinating logistics, vendors, and timelines.
Work with leadership and external partners to ensure a smooth transition and minimal disruption.
Track project milestones, budgets, and deliverables to keep renovations on schedule.
Source materials, furnishings, and design elements that align with our company’s brand and culture.

Cross-Departmental Collaboration & Communication

Partner with HR, IT, Finance, and other teams to improve office operations and employee experience.
Act as the primary point of contact for office-related issues and requests.
Help facilitate onboarding and workspace setup for new hires.

Vendor & Budget Management

Manage office budgets, expense tracking, and cost-saving initiatives.
Negotiate and oversee contracts with vendors, service providers, and office suppliers.
Ensure timely procurement of office resources to maintain smooth operations.

What You Bring

3 -5 years of experience in office operations, executive assistance, or corporate administration.
Strong ability to manage workflows, optimize processes, and improve workplace efficiency.
Experience handling vendor relations, budgeting, procurement, and expense tracking.
Previous experience as an EA or office manager supporting C-level executives.
Proven ability to manage leadership meetings, track action items, and ensure execution.
Exceptional problem-solving, communication, and organizational skills.
Proficiency in office management software, ERP systems, and administrative tools.
Experience in project management, coordinating renovations, or office buildouts is a plus.
A proactive, solution-oriented mindset with a passion for creating a well-run workplace.

Pay: $85,000.00 – $136,000.00 per year
