Broad Scope & Function
The Administrative Assistant will provide direct assistance to the Finance and Operations Manager. Under supervision of the Finance and Operations Manager, the Assistant will help plan and execute services in the areas of: operations, finance, event planning, and other general administrative duties.
Reporting Relationship
This position reports directly to the Finance and Operations Manager and may receive work direction from the EdInsights Leadership Team and senior administrative staff. This position may collaborate with other administrative staff.

Conditions of Employment
The selected candidate must furnish proof of eligibility to work in the United States. University Enterprises, Inc. is not a sponsoring agency (i.e. H-1B Visa).
This position is a full-time, non-exempt (eligible for overtime pay), benefited position, with a defined contribution retirement plan through TIAA. (The position is not covered under the California Public Employees’ Retirement System.) Continued employment in this position is dependent upon funding and the mutual consent of University Enterprises and the employee, and either University Enterprises or the employee, can, at any time, terminate the employment relationship at will, with or without cause. Program continuation is contingent upon funding.
Duties and Responsibilities
Assists with overseeing main office tasks, including screening telephone calls. Provides general information and assistance to visitors.
Purchases general supplies, equipment, and other office materials. Purchases and organizes furniture, workspaces, and general organization needs. Assists with maintaining accurate inventory of center equipment.
Assists with spreadsheets to communicate and track center projects, updates, and timelines.
Assists with researching and learning new office support technology systems, software, and processes independently and quickly.
Assists with submitting service tickets to Information Resources and Technology (IRT) and Facilities Management.
Assists with logging, filing, and reconciling expenses on a daily, weekly, and monthly basis. Assists with maintaining all records and proper documentation for project and center expenses.
Assists with preparing reimbursement requests for travel and other center and project expenses.
Assists with preparing payment instructions for vendors, invoices, staff credit cards, and other expenses.
Assists with scheduling, planning, running, and full execution of various meetings, events, monthly and quarterly staff activities, team building, and volunteer opportunities. Assists with notetaking during meetings.
Coordinates center celebrations and other acknowledgements.
Facilitates administrative team working sessions and meetings.
Composes weekly center administrative email updates.
Participates in centerwide discussions on equity and center strategic direction.
Performs other duties as assigned by the Director to ensure the success of the program and its participants.
Minimum Qualifications
Demonstrated general office and clerical experience, which may include volunteer work, internships, or school-based roles that reflect commitment and strong organizational, communication, or leadership skills.
Ability to perform basic mathematics.
Demonstrated experience with standard business computer software including word processing, data entry, and spreadsheets, such as the programs in the Microsoft Office Suite.
Excellent command of the English language including grammar, spelling and punctuation. Ability to draft and compose professional correspondence.
Excellent attention to detail and strong organizational skills.
Basic time management skills.
Ability to work in a rapidly changing environment.
Strong work ethic and initiative.
Interpersonal skills with ability to establish and maintain effective internal and external working relationships in a diverse environment.
Ability to independently troubleshoot and resolve problems.
Demonstrated ability to work effectively and cooperatively in a team.
Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.
Preferred Qualifications
Demonstrated experience in an administrative support position.
Experience with meeting and event planning, including virtual formats (such as Zoom).
Experience with project management software (such as Trello).
Experience with file management (manually and electronically).
Strong experience with spreadsheets (such as Microsoft Excel and Google Sheets).
Physical Requirements
With or without reasonable accommodation: Sit for extended periods; frequently stand and walk; manual dexterity and eye-hand coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer terminals, telephones, calculators, copiers, printers, scanners, and fax machines.
Working Conditions
Work is performed in an office environment; continuous contact with staff, students, campus community, the public, and other agencies.
