Are you looking to combine your experience in/passion for coffee with an administrative position that puts you at the core of a coffee roasting and coffeehouse operation? We are looking to add a member to our small but mighty office team at our Costa Mesa wholesale roastery. Casual, Monday-Friday work setting, working with some of the nicest coffee folks you’ll ever meet.
Kean Coffee a family owned and operated specialty coffee roaster seeking an hourly, part to full-time (30 to 40 hours a week, flexible), self-driven, detail oriented and versatile team member for our wholesale roastery office located at our warehouse/wholesale roasting facility in Costa Mesa. This is a position in which a wide array of skills and talents can be put to use! The ideal candidate for this position will have some background in the coffee industry, and a passion for specialty coffee.
This position is best for someone who enjoys being part of the core team of an operation and is a creative self starter, a team player, and a great communicator. Our ideal candidate is a “people person”, as there is a lot of phone and some in-person communication with our wholesale customers, while at the same time exacting, accurate, comfortable working solo in front of a computer, and comfortable with numbers.
Responsibilities may include:
Receiving, invoicing and follow up on incoming wholesale orders. Interfacing with our roasting team to be sure all orders are accurate and shipped on time.
Communicating in a friendly, engaging manner with our wholesale accounts by phone and email, answering questions and resolving issues
Processing payments and creating shipments for orders
Creating and maintaining wholesale product lists, pricing, and other documents in Excel and Word
Assisting our coffeehouse managers with inventory tracking, ordering supplies, and facilitating product moving to and from our coffeehouses on a daily basis.
Accounts Payable – entering of invoices, timely payment, follow up on and resolution of any payment issues.
Accounts Receivable – tracking wholesale account status and following up with tactful collections action on slow payments
Data entry
Assisting with email newsletters, social media, and marketing campaigns
Required skills for this position:
Excellent computer literacy using a pc (not Mac)
Comfort with Microsoft Office, Word, Outlook, etc.
Accuracy with numbers and data entry
Excellent customer service with a friendly and patient demeanor
Articulate and professional writing skills for email correspondence with vendors and customers.
Preferred additional skills for this position:
Experience with Excel spreadsheets
Quickbooks experience
2 or 4-year college degree preferred. Recent college grads welcome!
Creative skills/hobbies such as Photoshop, graphic design, writing, photography, etc. may have opportunity to be used as well!
Pay: Competitive hourly pay, starting pay based on experience. Benefits include group health insurance, paid time off, employee discounts.
