Position Summary
The Administrative Program Assistant will support the Workforce Development and Instructional offices in developing, organizing, and sustaining the mission of the college. The Administrative Program Assistant will adhere to the policies as specified by the Alabama Community College System Board of Trustees and the Drake State Community and Technical College Personnel Handbook.
Salary:Appropriate placement on the Alabama Community College System Board of Trustees
Salary Schedule E3, Grade 4
Salary Range $38,979 – $56,128 (12 months, Non-Exempt).
Work Hours: 8:00 am – 5:30 pm Monday – Thursday and 8:00 am – 12:00 pm Friday
Essential Duties and Responsibilities
The Administrative Program Assistant shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the Drake State Community and Technical College Faculty and Staff Handbook.
Provide clerical support for the instructional office
Schedule and arrange all meetings, appointments, and travel plans
Assist with monitoring grant progress over time
Provide general secretarial and clerical assistance, including typing correspondence
Manage affairs in the assigned offices in an effective and professional manner
Assist the assigned offices in implementing strategies to ensure accuracy, quality, and effectiveness in data collection, evaluation, and dissemination
Receive and handle communications, including electronic communications, correspondence and telephone calls
Assist the assigned office in implementing strategies to ensure accuracy, quality, and effectiveness in data collection, evaluation, and dissemination
Demonstrate strong verbal and written communication skills
Compose letters, memorandums, and other correspondence
Submit reports to supervisor as requested
Assist with conference and event planning and event organization
Maintain grant files
Order and maintain materials and supplies
Maintains files for pending purchases and tracks backorders, receives and distributes supplies, receives invoices and processes through the Business Office
Schedule and coordinate marketing efforts through the Public Relations department
Document and maintain student, instructor, and class information and reports including profit/loss matrix
Maintain departmental records for students who receive WIOA funding; prepares contract approvals; verifies completion of courses; sends termination reports after completed course
Use Banner and Elevate or other relevant programs
Assist with set-up and planning of events and courses
Create presentations and marketing materials
Collect student information and conduct registrations
File and maintain documents of a confidential nature
Retain and submit documentation as requested to support grant implementation, accountability, and accreditation efforts
Actively research and stay current on trends in workforce development, non-credit training, and certificate career programs, for the purposes of making recommendations for program changes and additions
Coordinates efforts to identify needs and works with instructors to plan schedules for development and delivery of training
Serve on college committees as requested
Perform other work-related duties as assigned by the Assistant Dean of Instruction, Dean of Instruction, and/or President
