The Executive Assistant will provide administrative support to the Director of Facilities and the Community Services Department.

Job Description:

Executive Assistant

Reports to: Director of Facilities

Education and/or Experience

High School diploma or GED required.
Experience as an administrative assistant of one year or more.
Two to three years of club or hospitality industry experience preferred.

Anticipate needs and wants of supervisors by being prepared and organized while acting with a sense of urgency.
Must demonstrate appropriate analytical skills, attention to detail, organizational, and project management skills.
Proficient in Excel, Word, and PowerPoint.
Must have superior interpersonal skills and excellent ability to communicate orally and in writing.
Knowledge of and ability to perform required role in emergency situations.

Job Summary (Essential Functions)
Provide administrative support services to the Director of Facilities and Community Services Department.

Job Tasks/Duties

Prepare notices, agendas, and other items for the Director of Facilities.
Collaborate to schedule the Director of Facilities appointments and conferences.
Assists with the development of club newsletters and publications.
Assists in preparing PowerPoint, Word, and Excel reports for the Director of Facilities meetings.
Purchases and inventories office supplies and forms; monitors office equipment-maintenance contracts.
Type Standard Operating Procedures as drafted by the Director of Facilities.
Receive deliveries from Fed Ex, UPS, and other delivery services.
Perform general office tasks not limited to word processing and Excel spreadsheets to assist the Director of Facilities, including logging employee’s daily tasks, entering work orders.
Reading and entering monthly water meter numbers, well meter numbers, and lift station inspection reports into spread sheets.
Record and schedule work orders at members’ homes overseen by the Director of Facilities
Maintain records for the water and sewer department.
Coding of invoices to proper general ledger and department codes for the approval of the Director of Facilities.
Maintains general correspondence with members and vendors in accordance with the Standard Operating Procedures.
Receives and screens visitors.
Maintains a clean work environment as per club standards.

Able to meet and perform the physical requirements and to work effectively in an environment which is typical of this position.
