We are seeking a highly organized, proactive, and detail-oriented Part-time Administrative Assistant/Receptionist to join our growing team. This role will be crucial in ensuring the smooth and efficient operation of our office, providing comprehensive administrative support to our consultants and leadership, and serving as the first point of contact for our clients and visitors. The ideal candidate will be a strong communicator with excellent interpersonal skills and a professional demeanor.

Responsibilities:

Front Office Management:
Manage incoming calls, directing them to the appropriate personnel or taking detailed messages.
Administrative Support:
Provide general administrative support to consultants and leadership, including scheduling meetings, managing calendars, and preparing presentations.
Assist with the preparation and editing of reports, proposals, and other client-facing documents, ensuring accuracy and adherence to company branding.
Compile and maintain various databases and records with a high degree of confidentiality.
Process and distribute incoming and outgoing mail, packages, and faxes.
Order and maintain office supplies, ensuring adequate stock levels.
Assist with travel arrangements for consultants as needed.
Operational Support:
Coordinate and schedule internal and external meetings, including room setup and catering arrangements.
Assist with onboarding contractors by preparing and coordinating tasks and necessary documentation.
Help organize company events, workshops, and client appreciation activities.
Manage and maintain office equipment, coordinating with vendors for service and repairs.
Confidentiality and Data Security:
Handle sensitive company and client information with the utmost discretion and confidentiality, adhering to all data security protocols.
Understand and respect the confidential nature of a cybersecurity environment.

Qualifications:

Proven experience as an Administrative Assistant, Receptionist, or in a similar administrative role.
High school diploma or equivalent required; some college coursework preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with general office software.
Excellent written and verbal communication skills.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Exceptional attention to detail and accuracy.
Professional demeanor and strong interpersonal skills.
Ability to work independently and as part of a team in a fast-paced environment.
Reliable, punctual, and adaptable to changing priorities.
Familiarity with cybersecurity concepts or a strong interest in the field is a plus.

Additional experience in the following is a plus:

Data entry and record keeping: Inputting and maintaining accurate data in databases, spreadsheets, and physical filing systems.
Document preparation: Typing, formatting, proofreading, and editing various documents such as reports, letters, presentations, and memos.
Office supply management: Monitoring inventory levels, ordering new supplies, and ensuring the office is well-stocked.
Filing and organizing documents: Creating and maintaining efficient filing systems (physical and digital).
Travel arrangements: Booking flights, hotels, rental cars, and managing travel itineraries.
Processing invoices and expenses: Assisting with basic bookkeeping tasks, such as processing invoices, tracking expenses, and submitting expense reports.
Running errands: Performing various office-related errands as needed.
Assisting with presentations: Creating, editing, and formatting presentations.
Research tasks: Conducting basic research to support projects or decision-making.

Job Types: Part-time, Contract

Pay: $13.67 – $15.86 per hour

Expected hours: No more than 20 per week
