We’re looking for an organized, proactive person to be the operational backbone of our growing engineering consultancy. This is a new role that sits at the intersection of sales support, logistics coordination, and office administration. We’re a team of engineers and designers who are great at building things but could use someone who’s great at keeping everything running smoothly.

Waterloo Technical has been helping startups and established companies bring hardware products to life for over 14 years. Our team of ~20 works out of our facility in Kitchener. We’re growing, and this role is how we’re building the infrastructure to support that growth.

What You’ll Do:

Communicate with prospective clients, qualify leads, book meetings

Set up and maintain our CRM – track leads, follow-ups, and pipeline status

Help format and assemble proposals, SOWs, and client-facing documents

Create shipments in carrier portals, generate labels, and prepare international customs/export paperwork

Track shipments, coordinate pickups, and troubleshoot shipping issues

General office admin: supplies, scheduling, document management

What We’re Looking For:

Highly organized – you don’t let things fall through the cracks

Comfortable communicating with clients professionally via email and video calls

Proficient with Google Workspace, spreadsheets, and document formatting

Self-directed- you can manage your own task list without constant supervision

Comfortable learning new software (CRM tools, shipping portals)

Bonus: experience with CRM systems, international shipping paperwork, or B2B professional services. You don’t need to be technical, but curiosity about how things are built helps.
