Job Summary:
This position provides administrative duties in support of programs, operations, and functions of the Athletics department. The incumbent of this position serves as an administrative clerk to the Athletics Director and performs the full range of administrative support services for the Director and departmental staff. This position performs confidential duties and occasionally may oversee and provide guidance and/or instructions to volunteers or temporary office staff, as necessary. Incumbent is this part-time position is not eligible for benefits.
Major Duties:
Sorts and distributes mail.
Gathers data and prepares reports.
Prepares and maintains files.
Greets visitors, screens calls, and determines proper referral.
Responds to general inquiries from other departments and/or the public.
Reviews existing administrative procedures and initiates or recommends improvements.
Composes letters, documents, and forms.
Reconciles registrations related to various sports-program registrations; verifies registrants’ on-line payment and issuance of registrants’ receipt; prepares daily registration reports and forwards to appropriate department.
Performs other related duties as assigned
Qualifications
Minimum Qualifications: • High School Diploma or GED equivalent • One (1) year of administrative or clerical experience Preferred Qualifications: • Associate Degree in Business Administration or a related field of study • Two (2) years of executive level secretarial or administrative experience

Knowledge Required by the Position: • Knowledge of Microsoft Office Suite. • Knowledge of Recpro/Daysmart software. Skills Required by the Position: • Strong written and oral communication skills. • Skill in Microsoft Office with the ability to learn job-related software. • Skill in report preparation and records maintenance and retention. • Strong organizational skills and ability to multi-task. Ability Required by the Position: • Ability to operate computer, copier, phones and other office electronics. • Ability to prioritize, organize, and multi-task in a fast-paced environment. • Ability to handle confidential information in a discreet, professional manner. • Ability to deal tactfully and courteously with public, sometimes in difficult and trying circumstances. • Ability to establish and maintain effective working relationships with co-workers, other City employees and the public. • Ability to work accurately with detailed records and complex information. • Ability to work independently.
Miscellaneous Information
Supervisory Controls: Work is performed under the direct supervision of the Athletic Director. Physical Demands: Lifting boxes not weighing more than 30 pounds. Work Environment: The work is typically performed in an office setting.
