Position Overview
We are seeking a highly skilled and proactive Executive Assistant to the CEO who is adept at managing scheduling and organization, providing high-level administrative support, and leveraging AI tools. The ideal candidate will have a strong background in financial modeling, IT systems related to collections, and proficiency in software development concepts. This role requires exceptional technical, organizational, and communication skills, as well as the ability to produce high-quality presentation materials and assist with financial analysis.

Key Responsibilities
Executive & Administrative Support
Manage the CEO’s schedule, appointments, and travel arrangements.
Handle correspondence, emails, and calls, ensuring timely responses and prioritization.
Prepare reports, memos, and presentations using Microsoft Word, Excel, and PowerPoint.
Assist in coordinating high-level meetings, including agenda preparation and minute-taking.
Provide AV and IT support for meetings, ensuring seamless virtual and in-person presentations.

AI & Technology Integration
Utilize AI tools for workflow automation, document analysis, and data organization.
Assist in AI prompt-based data entry and optimization of AI-driven processes.
Work closely with IT team to support system implementations and improvements.
Maintain knowledge of collections systems, software development concepts, and IT infrastructure.

Financial & Business Analysis
Conduct basic financial modeling and data analysis to support executive decision-making.
Assist with budget tracking, forecasting, and financial report preparation.
Review key financial documents, contracts, and agreements as needed.

Presentation & Reporting
Develop professional presentation materials, reports, and dashboards for internal and external stakeholders.
Assist in compiling data and insights for executive-level decision-making.
Ensure clarity, accuracy, and design quality in all executive presentations.

Qualifications & Requirements
Education: Bachelor’s degree in Business, Finance, IT, or a related field preferred.
Experience: 5+ years as an Executive Assistant, preferably supporting C-level executives.
Technical Skills:
Advanced proficiency in Microsoft Word, Excel (including financial modeling), and PowerPoint.
Experience with AI tools and prompt-based data entry.
Familiarity with software development concepts and IT system management.
Knowledge of collections systems or fintech-related software is a plus.
Soft Skills:
Highly organized with strong attention to detail.
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Strong problem-solving and analytical abilities.
Self-starter with the ability to work independently and manage multiple tasks effectively.
