As the Administrative Specialist, duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication.

Administrative Specialist are responsible for confidential and time-sensitive material. Familiar with a variety of field’s concepts, practices, and procedures. Ability to effectively communicate via phone and email, ensuring that all Administrative Specialist duties are completed accurately and delivered with high quality and in a timely manner.

May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals, and a wide degree of creativity and latitude is expected. Typically reports to a manager or head of a unit/department.

Familiar with operational metrics, key performance indicator collection and tracking
Compiling, maintaining and updating company records and submitting the to the Human Resource Departure
Setting up appointments, scheduling meetings, handling potential candidate interviews and managing the correspondence between the office and external bodies
Assist in the preparation of regularly scheduled reports
Provide general support to leadership
Generate reports conduct data entry
Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Handle sensitive information in a confidential manner
Coordinate repairs to office equipment with Client Service Manager, Management team and Upper Leadership
Provide polite and professional communication
Implement clerical duties and administrative processes
Performs other related duties as assigned.

High school diploma or equivalent; college degree preferred in Business Administration or related field.

Proven admin or assistant experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multitask and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office
At least 1 years of experience in the field or in a related area

Prolonged periods sitting at a desk, talking on the phone and working on a computer.

Must be able to lift up to 15 pounds at times.
