Administrative Services Assistant, Professional Worker III – Kealakehe Complex Jobs in Hawaii at Hawaii State Department of Education
The Receptionist position provides general office support with a variety of clerical activities and related tasks. Also responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties, from 8:00 am to 5:00 pm Monday through Friday.
Primary Responsibilities:
1. Front Desk Reception
Represents the company in a professional manner and creates a welcoming front desk / reception area.
Answers incoming phone calls on a multi-line phone system; Routes calls and messages to the appropriate party.
Greets and directs visitors to the office; Receives, sorts and forwards incoming mail.
2. Office Support
Performs clerical duties such as scanning, copying, faxing, filing, and stocking office supplies for common areas.
Packages, applies postage and sends outgoing packages (USPS, FedEx, Goldstreak, etc); Maintains postage machine.
Runs errands which often includes moderate lifting.
Assists with office maintenance items (i.e. copier support/service needs).
3. Project Team and Department Support
Works in cooperation with, and provides excellent customer service to, project teams, field personnel and other staff.
Assists with document routing, as well as data entry and preparation of reports, spreadsheets, and other documents.
Arranges meetings including scheduling conference rooms, sending meeting invitations, and arranging lunches.

1 to 3 years of construction administrative support; or comparable education and/or experience.
Excellent customer service and written/verbal communication skills, both in-person and virtually.
Able to simultaneously support multiple projects and project team members.
Able to move seamlessly from one task to the next and be flexible with changing priorities.
Able work under pressure to meet deadlines on multiple projects.
Strong organizational skills with a meticulous attention to detail.
Proficient in Microsoft Suite (Outlook, Word, Excel).
Possess a willingness and ability to learn industry-specific software.
General understanding of construction terminology, key processes, and overall project lifecycle.
Experience in construction or related industry preferred but not required.

Compensation & Benefits
$20.00 – $23.00 per hour
