Job Description Summary:
This position provides essential administrative support to the Education, Engagement, and Early Career Development (EdEC) Center at NSF NCAR, including the Management Team, Staff, and Sections.

This role includes both internal staff support and external engagement through involvement in EdEC education and training programs for diverse audiences like the public, students, postdocs, and faculty.

Collaborating with our team, you’ll contribute to team success in a hybrid environment, spending at least two days per week in the office.

Your responsibilities include applying judgment and analysis to moderately complex tasks, resolving challenges, and offering insightful recommendations

Key Responsibilities:
Travel and Procurement
Manage all aspects of EdEC travel, from planning and booking to expense reimbursement, for staff, visitors, workshops, field support, and other travel needs.
Supports sections with procurement tasks and other payment tasks such as stipends and honoraria payments
Provide General Office Support
Maintains and orders office supplies for staff
Maintains office shared spaces, meeting room, and breakroom
Manage room and office calendars. Provides calendar support to other staff members, including EdEC Management as needed
Drafts, edits, and proofreads general correspondence
Assists with simple databases and database entry
Meetings and Events
Supports EdEC meetings, including arrangements, helping to develop agendas, taking notes, and following up on outstanding items
May assist with up to 12 evening or weekend events per year for the Explorer Series and other educational events
Assists on-site with annual and ad-hoc meeting support
Works with meeting organizers to identify, reserve, and order room set-ups and catering
As part of the EdEC Administrative Team
Supports the property administrator
Participates in regular staff meetings
Works with the administrative support team to help support EdEC Programs
Provides support as needed to section Leads and Program Specialists
Metrics
Serves as the Metrics Manager for EdEC and ensures that all data is captured in the Metrics database and in OpenSky. Gathers metrics as needed for other ad hoc processes

Education & Experience REQUIRED:
A high school diploma or equivalent AND a minimum of two years relevant experience, or an equivalent combination of education and experience.

Knowledge, Skills, and Abilities REQUIRED:
Excellent interpersonal skills and teamwork, including the ability to work with people from diverse backgrounds, demonstrated ability to work as a team player, ability to work independently
Demonstrated ability to show initiative
Strong organizational skills and demonstrated ability to multitask
Advanced knowledge of international and domestic travel arrangements
Excellent written and oral communication skills, including editing, proofreading, and professional phone and email etiquette
Skills in PC applications including Microsoft Word, Excel, PowerPoint, and Access; Google Apps, general database and working in a network computing environment
Ability to apply policies, procedures, and practices
Ability to handle confidential information reliably
Ability to assess unique situations and take initiative if appropriate
