Job Purpose
The Administrative Assistant is the first point of contact for Congregation Achduth Vesholom and plays a key role in managing Temple office functions. This individual provides essential administrative support to the Executive Director, Rabbi, Board of Trustees, and other staff members.
Organizational Relationships
The Administrative Assistant works directly under the supervision of the Executive Director and provides support to the Comptroller, Facilities Manager, and Rabbi. This position regularly interacts with members of the Board of Trustees and communicates frequently with congregation members, building tenants, and the general public via in-person interactions, phone calls, and electronic communication.
Primary Job Functions & Responsibilities
General Office Duties:
Greet visitors, answer the phone, respond to emails, and process mail.
Maintain office calendars and assist with scheduling.
Perform data entry and general clerical tasks as needed.
Track and record important congregational information, including bimah announcements, Mi Shebeirach list, and yahrzeit list.
Prepare and distribute a weekly report of this information in advance of Friday services.
Program & Volunteer Support:
Assist with scheduling and reservations on the Temple calendar.
Help with volunteer management, coordinating schedules, and determining the best meeting dates.
Financial Support:
Process and deposit checks.
Scan and transmit physical bills and invoices to the Comptroller.
Maintain and report on petty cash.
Congregational Communications:
Collaborate with the Editor to lay out the monthly bulletin.
Manage social media accounts and maintain the congregation’s online presence.
Prepare the annual membership directory, annual meeting booklet, and other periodic materials.
Correspondence Management:
Handle formal correspondence for the Executive Director, Rabbi, Board of Trustees, and other staff.
Office Management:
Manage office supplies and software.
Campus Security:
Adhere to and help facilitate campus security policies and procedures.
Event Coordination:
Serve as the point of contact for campus events, assisting with coordination and execution.
Qualifications
High school diploma or equivalent required.
Proficient in general office duties, including typing, managing phone systems, and operating office machines (including photocopiers).
At least 3 years of experience with office computers and software, including Office 365, Google Docs, congregation management systems, and graphic design tools.
Strong verbal and written communication skills with a friendly, service-oriented demeanor when interacting with people.
Experience with handling mail and basic financial functions.
Self-starter who can manage multiple tasks, take direction, solve problems, and quickly learn new systems.
Excellent time management skills and the ability to prioritize tasks effectively.

Job Type: Part-time
Pay: $18.50 – $22.00 per hour
