Job Summary:
The executive assistant is responsible for providing high-level administrative support to the Managing Partner and other members of the Firm’s Senior Leadership Team / Partnership Committee. Primary responsibilities will include scheduling/coordinating meetings, events and travel, project planning/tracking, preparing performance reports and providing analysis of data trends, process documentation and administration of firm’s process document library, and general office administration/management duties. As such, candidates must be extremely well-organized, able to multi-task efficiently, and have advanced skill in MS Office (specifically Excel and Powerpoint). The Executive Assistant will be a key contributor by maximizing the effectiveness of the Firm’s leaders and ensuring that critical timelines/initiatives are tracked.
Essential Duties and Responsibilities:
Scheduling and coordinating internal/external meetings for the Firm’s executive team, including travel and events.
Taking/maintain notes/agendas for project meetings and calendaring/tracking milestone dates as well as drafting process documents.
Preparing various types of performance reports (in PowerPoint and Excel) and providing analysis to Senior Leadership Team.
Create process documents and workflows and serve as administrator for Firm’s process document library
Assist with special projects and assist other departments as needed.
Required Skills/Abilities:
Advanced skill in MS Office Suite of software (especially in PowerPoint, Excel, and Outlook)
Strong verbal and written communication skills
Advanced organizational/multi-tasking skill – candidate must have the ability to take detailed and accurate notes and track multiple projects/task through to completion
Strong initiative and follow-through
Education and Experience:
High school diploma or equivalent
Some office, admin and/or legal experience is preferred, but not required
Marketing and/or data analyst experience/education is preferred, but not required
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Frequently required to talk or hear, and use hand to type, handle, or touch objects.
Regularly required to stand and walk, and may be required to stoop, bend, or reach above the shoulders.
Must be able to occasionally lift up to 25 pounds at times.
Must be able to access and navigate each department at the organization’s facilities.
Work Environment:
The position is primarily an office-based position with the potential for a hybrid work arrangement.
