Administrative Specialist 1 – Trust Officer Assistant Jobs in Salem, OR at Department of Veterans Affairs

The Receptionist is responsible for operating a multiline telephone system to answer incoming calls and directs callers to appropriate personnel and completes various tasks relating to administrative functions by performing the following duties:

· Retrieves messages from general delivery voice mail box and forwards to appropriate personnel.

· Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

· Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

· Organizes customer visits as needed. Updates conference room calendar, intranet event calendar and welcome sign.

· Monitors visitor access and issues appropriate name badges or safety equipment when required.

· Receives, sorts, and routes mail, and maintains and routes publications.

· Communicates new hire information to appropriate departments and follow-up with newly hired employee on start dates and employee orientation information.

· May answer and direct calls, greet employees visiting the HR Department and responds to employee inquiries and requests for information.

· May compose routine memos and letters as directed.

· Assists in the administration of employee paid and unpaid time off policies.

· Coordinates interview schedules.

· Coordinate and assist during employee events including luncheons, training, orientation, and annual company outings.

· Sorts and distribute morning reports on a daily basis.

· Data reconciliation.

· Operate the postage machine and post company mail on a daily basis.

· Order company office supplies as requested.

Job Type: Full-time

Pay: $22.00 – $25.00 per hour
