Administrative Assistant

Summary:

The full-time Administrative Assistant will provide direct administrative and clerical support to both the Louisa County Airport and, occasionally, the Louisa County Industrial Development Authority (IDA). This dual-role position requires a well-organized, detail-oriented individual who thrives in a team environment, communicates effectively, and demonstrates a friendly, professional demeanor. The ideal candidate must be able to multitask, exercise sound judgment, and work both independently and collaboratively with staff, leadership, and board members. This position reports to the Airport Manager and supports the IDA Administrator and IDA Chairman with board administration, documentation, and recordkeeping.

Essential Functions of the Position:
Airport Responsibilities:
Serve as the primary administrative support for the Airport Manager.
Assist with fuel sales tracking, invoicing, and filing financial records.
Maintain general airport records including inspections, work orders, and tenant documentation.
Coordinate with vendors, pilots, and County departments regarding airport maintenance, events, and operations.
Support the Airport Manager with the organization and scheduling of airport-related meetings, reports, and regulatory filings.
Respond to public inquiries and provide customer service to airport tenants and transients.
Help monitor airport compliance timelines and maintain appropriate checklists for reporting and documentation.
Support special projects, events, and community outreach efforts.
IDA Responsibilities:
Work with the Airport Manager/IDA Administrator to ensure IDA Industrial Park Covenants are properly applied, tracked, and maintained.
Develop a working knowledge of relevant state and local codes affecting IDA operations.
Prepare and organize electronic and paper files for the IDA; maintain records in a manner that supports audits and legal requirements.
Take accurate and professional minutes during IDA board meetings (regular, special, or called), and assist with agenda distribution and meeting logistics.
Maintain and file all IDA records in accordance with County and state retention policies.
Serve as a liaison between the IDA Administrator, IDA Chairman, County departments, and the public as needed.
Required Skills, Knowledge and Abilities:
Strong planning and time management skills; ability to prioritize multiple deadlines.
High attention to detail and the ability to maintain confidentiality.
Excellent written and verbal communication skills.
Familiarity with best practices for office procedures and administrative support.
Proficient in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat, and digital filing systems.
Works independently or in a team setting, using sound judgment within set guidelines.
Ability to accurately record and transcribe meeting minutes and manage document flow.
Regular attendance and adherence to County scheduling and time-off policies.
Education, Experience and Training:
High school diploma or GED required.
At least two years of experience in administrative or clerical support in a fast-paced setting preferred.
Experience working with local government, economic development, or aviation services is a plus.
Hiring Range:
Grade 108/109 – Minimum – $33,506.16/$35,516.53 + DOE
Working Conditions:
Environmental: Work is typically performed in an indoor setting. The office is currently open to the public Monday through Saturday from 8:30 a.m. until 5:00 p.m. This position will require a flexible schedule to accommodate the needs of the Department and the County to include evening, weekend and occasional holiday hours.
Physical Effort: Sedentary work; may include sitting for extended periods, with occasional walking or lifting up to 10 pounds.
Hazards: Employee is subject to indoor environmentally controlled conditions
Special Conditions or Requirements:
Must be willing to submit to a criminal background and Department of Motor Vehicles check.
Must consent to drug testing consistent with Louisa County’s Drug-Free Workplace Policy.
Must possess a valid Driver’s License.
Must maintain a driving record consistent with insurance industry standards in order to drive a County vehicle.
Twelve (12) month probationary period.
