Job Summary:
The Administrative Specialist plays a crucial role in providing administrative support and ensuring the efficient operation of an organization. This position involves a variety of tasks to facilitate smooth office operations and effective communication.
Education Requirements:
Bachelor’s degree (B. A.) in Business Administration or related field.
Work Experience Requirements:
1-3 years experience in the related position.
Knowledge and Skill Requirements:
Proficient with Microsoft Office Suite or related software
Fluent English proficiency
Strong written and verbal communication skills.
Teamworking ability
Attention to detail
Excellent organizational and multitasking abilities.
High level of accuracy and attention to detail.
Intermediate Math skills
Roles, responsibilities, and authorities:
Oversee day-to-day office operations.
Handle cash on site duties and cost management
Process invoices from vendors and services
Manage the medical insurance request
Perform general admin duties
Manage company’s contracts
Coordinate between company and travel agency
Procurement management and maintain supplies inventory
Maintain accurate and organized filing systems.
Develop team communications and information to provide a healthy environment
Resolve problems, improve operations and provide exceptional support
Planning and organizing events or meetings.
Manage company’s transportation.
Provide support to various departments as needed.
Maintain, renew, and follow-up on all company documents such CR, Saudization, GOSI, tax etc.
Communicate with all employees and their management for all government requests
Keep all documents required by governmental agencies while processing them, and submit them to concerned employee
Coordinate with all agencies for processing work visa
Coordinate with HR and FL department and update them for new hiring status
Coordinate with staff regarding personnel issues related to governmental applications as required
Communicate with governmental entities to issue licenses and other related documents as required.
