Description Of Duties/ Essential Functions

The General Services Department (GSD) is seeking an Administrative Specialist who will be responsible for administrative support for all Security Management functions including investigations, customer service and the security technical repair team. This position will also complete the following duties:

Monitors vendor invoices and payment.

Verifies vendors invoices are complete before forwarding to Finance for processing.

Follows up with vendor on invoices to avoid overdue invoices.

Creates requisitions and receivers in SAP software.

Monitors spending authority on contracts.

Composes correspondence, directives, and prepares drafts on various departmental matters and edits material as required.

Responds to written and telephone inquiries, requests, and complaints from the public.

Produces various reports on a weekly and monthly basis.

Monitors and orders office supplies as needed.

Participates in special projects and performs other duties as assigned.

WORKING CONDITIONS

The position is physically comfortable; the individual has discretion about walking, standing, etc.

Minimum Requirements

EDUCATIONAL REQUIREMENTS

Requires a Bachelor’s degree in Business Administration, Liberal Arts, or a related field.

Experience Requirements

Three years of administrative experience is required.

Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

PREFERENCES

Preference is given to applicants with experience in SAP software with creating requisitions and receivers, monitoring and verifying vendor invoices. Current and proficient knowledge of MS Office (Excel, PowerPoint and Word) is preferred along with experience working with people of diverse backgrounds, ability to communicate effectively orally and in writing, have strong interpersonal and collaboration skills. Great organizational skills and high attention to detail is also preferred.

Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.*
