Full Job Description
The Hugh Downs School of Human Communication (HDSHC) seeks an energetic, highly organized, flexible, and quick-learning Administrative Specialist who performs advanced tasks to support the operations of HDSHC. The incumbent will work independently to implement administrative policies, interact with key stakeholders, and use good judgment to actively address non-routine situations, and interpret guidelines, procedures, policies and practices.
Under direction of the Assistant Director of Academic Administration, the successful candidate will be a self-starter with an efficient work methodology, excellent communication skills, an ability to coordinate multiple tasks autonomously, maintain confidentiality, and exercise sound judgment in decision-making. As a front-facing job position, we seek a person excited about the opportunity to regularly interact with and address the needs of HDSHC students, faculty, staff, and administration.

Essential Duties
Serves as the first point of contact to school stakeholders; addresses and responds to all matters of business; provides outstanding customer service.
Responsibilities: opens and closes office, manages front desk, processes parking validations and maintains keys and key log; receives and sends mail and deliveries utilizing various shipping options.
Manages School Director’s calendar, coordinates meetings, events, and travel arrangements; assists with correspondence and logistics related to the Director which includes professional interactions with students, faculty, staff, and executive leadership.
Supports Marketing with events, catering, and ordering promotional materials.
Assists with academic support functions such as faculty onboarding, scheduling classes and classrooms, updating and maintaining student registration databases, preparing and distributing faculty correspondence, and assisting with academic personnel actions.
May supervise or coordinate the activities of subordinate employees including orienting and training new staff and student employees.
Supports Business Operations with staff/student worker recruitments, floor plan updates, office moves and packing, nameplate requests, space surveys, and maintenance requests.
Orders supplies, equipment and/or textbooks in accordance with school guidelines.
Performs other administrative duties as assigned.
Minimum Qualifications
Bachelor’s degree and five (5) years of executive-level administrative support experience; OR, Nine (9) years of executive-level administrative support experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
