Full-time

Schedule:

Monday-Friday 8am-5pm, brief availability necessary every Saturday night or Sunday morning for a quick weekly task, which can be completed remotely. This position is considered a Hybrid role, partially remote and flexible.

Job Summary:

The Administrative Assistant will provide crucial support to the Operations management team, playing a key role in ensuring the smooth and efficient day-to-day operations of our warranty administration processes. This role requires exceptional organizational skills, a proactive approach, and the ability to handle a variety of tasks with accuracy and efficiency. The Administrative Assistant will assist in operational scheduling, time management, performance tracking, documentation, file organization, and CRM system maintenance.

Responsibilities:

Operations Scheduling Assistance: Assist Operations in developing and managing staff schedules, including coordinating shift coverage, tracking time off, and communicating schedule changes to operational staff.
Time Management Support: Support Operations in monitoring and analyzing staff time utilization by collecting timesheet data, preparing reports, and identifying potential discrepancies or areas for improvement.
Metrics and Reporting Support: Assist in the preparation of operational metrics reports by gathering data from various sources, compiling information, and creating preliminary reports for management and team review.
Performance Documentation Assistance: Assist Operations in maintaining performance documentation, including formatting and updating Standard Operating Procedures (SOPs), organizing training materials, and assisting with the preparation of performance evaluation documents.
File Organization Verification Assistance: Assist in auditing physical and digital files by retrieving files, checking for completeness, and ensuring adherence to company policies and regulatory requirements, reporting any discrepancies to the Assistant Manager.
CRM Accuracy Verification Assistance: Provide support in conducting routine checks of the Customer Relationship Management (CRM) system by entering data, updating records, and generating reports to verify data accuracy and completeness.
Process Improvement Support: Assist the Operations team in identifying opportunities to streamline operational processes by gathering information, documenting workflows, and assisting in the implementation of process improvement initiatives.
Team Support: Provide administrative support to the operations team, including answering phones, directing inquiries, preparing correspondence, and scheduling meetings.
Collaboration Support: Facilitate communication and collaboration with other departments by distributing information, scheduling interdepartmental meetings, and assisting in the coordination of projects.
Other Duties: Perform other administrative duties and responsibilities as assigned.

Qualifications:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
High school diploma or equivalent required
2+ years of experience in an administrative assistant role preferred, preferably in an operations or related environment.
Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
Excellent attention to detail and accuracy.
Experience with CRM systems is a plus.
Strong communication and interpersonal skills, with the ability to interact effectively with staff at all levels.
Ability to work independently and as part of a team.
Ability to maintain confidentiality.
