Full Job Description

The UT Martin Department of Behavioral Science and Department of Psychology seek an Administrative Specialist to support the business functions of the departments, faculty, and students. The Administrative Specialist works directly with the faculty and department chairs to assist with all tasks required to ensure the office runs efficiently.

Main contact for administrative needs of the Departments of Behavioral Sciences and Psychology.

Provides assistance, direction, and guidance to faculty, staff, and students regarding UTM policies and procedures.

Answers main telephone for the departments.

Completes general office functions including copying, filing, etc.

Maintains functionality of all office equipment such as printers and copiers. Contact vendors when necessary for service.

Assigns office spaces and update facilities inventory annually.

Verifies annual equipment and key inventory.

Assists with preparation and distribution of departmental reports.

Reconciles departmental budgets.

Responsible for procurement card purchases and maintains receipts for reconciliation.

Orders general office supplies.

Maintains order in storage rooms.

Responsible for preparing and entering travel requests and expense reports.

Oversees Graduate students, student workers, and work study students.

Enters course schedule into Banner.

Enters payroll requisitions/personnel changes for office workers and adjuncts.

Processes paperwork for full-time and part-time hires.

Interacts with students including adding and dropping classes and assigning advisors.

Assists faculty with advising by maintaining curriculum check-sheets and other advising forms.

Updates and maintains files and databases of current and prospective students and alumni.

Assists faculty and adjunct instructors with class materials, submitting textbook orders, grant materials, and student club materials.

Assists faculty with graduate and undergraduate curricular requests.

Assists in planning and execution of meetings, workshops, and special events.

Other duties as assigned.

Minimum Qualifications:

High school diploma (or equivalent) with four years of relevant experience, or an equivalent combination of education, training, and experience.

Attention to detail and task oriented.

Ability to multi-task and complete projects promptly.

Self-motivated and ability to work without direct supervision.

Ability to maintain confidentiality.

Ability to communicate clearly, concisely, and correctly in both written and verbal forms.

Preferred Qualifications

Ability to demonstrate knowledge of Banner, DASH, Microsoft Word, and Excel.

Experience in higher education.
