Description of Work

The Administrative Specialist I serves as the lead office support professional in Rolling Hills and as an administrative assistant to the Division Director(s). This position is primarily responsible for the critical functions of: a) position/personnel action management that includes the overall coordination, tracking, and documentation of activity for each position assigned to the division and b) management, tracking, and reconciliation of the division’s assigned budget.

Job responsibilities include the following:

Performs duties and provides support for individuals other than the immediate supervisor as follows: Residential Services Director, Home Managers, Home Supervisors, Human Resource Office, and Timekeeping Department.

Requires flexibility in learning new office procedures and the implementation of new systems/approaches designed to improve efficiency and quality.

Critical in the development of such approaches.

Responsible for maintaining critical data related to assigned positions, recruitment/selecting activity, and vacancy management. This includes weekly reports for the Director of Residential Services.

Posting existing vacancies, tracking the recruitment/selection activity completed by Human Resources Office and the assigned manager/supervisor, typing and providing offertory/acceptance/rejection letters to the manager/supervisor, completion/submission of personnel action forms for all personnel activity related to the assignment of staff to specific positions, and management of budget transfers in response to employee/position reassignment to meet administrative needs.
