Position Overview

Under direction, independently performs a wide variety of complex clerical and office support duties in the Health Services Unit of the Licensing and Testing Section. Provides a wide variety of complex, specialized office support functions. Serves as a receptionist. Receives incoming mail; opens, date stamps, sorts and distributes.

Essential Functions
Provides a wide variety of complex, specialized office support functions for the Unit Manager and staff.

Utilizes personal computer and various software applications to type complex charts, statistical reports, documents, forms, memoranda and letters, including information request letters as requested by superior which may be technical and confidential in nature.
Understanding specialized legal and industry terms, composes and types correspondence and responds to inquiries requiring knowledge of agency operations.
Prepares spreadsheets to maintain records.
Organizes and maintains filing systems, both physical and electronic.
Proofreads correspondence for appropriate punctuation, grammar, spelling, capitalization and typographical errors.
Serves as a resource for the Unit, exercising discretion and judgment in referring sensitive issues, complex technical matters, and policy concerns relative to the Unit to the appropriate staff.

Responds to inquiries of non-technical nature in person or by phone applying knowledge of agency operations.
Provides office support such as sending and receiving mail (physical and electronic) and monitoring office supply levels.

Opens, date stamps, sorts and distributes mail (physical and electronic).
Conducts various mass mailings (physical and electronic) for the Unit, attaching labels, collating attachments, inserting and sealing envelopes.
Scans and uploads documents.
Operates general office equipment.
Monitors reception area supplies to ensure availability.

Serve as backup for support staff. Assists with routine maintenance of photocopiers and other office equipment.
Prepares material and documentation for microfilming and record retention in accordance with established procedures.
Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
Requires knowledge, skill and mental development equivalent to completion of high school.
Requires two years of office experience.
Requires the ability to type accurately at 45 wpm.
Preferred Qualifications
Prefers at least five years of experience working in a professional office environment.
Prefers at least three years of experience working in an office clerical role, such as Office Clerk, Office Associate, Office Assistant, Office Aide, or similar.
Prefers at least two years of experience conducting customer service via phone, email, or in person.
Conditions of Employment
Requires the ability to pass an Agency-conducted background check.
