The Division of Motor Vehicles Commissioner’s Office is seeking a motivated, experienced Administrative Specialist II. The primary purpose of this position is to serve as the administrative specialist to the Deputy Commissioner who oversees the License and Theft Bureau, Training and Development Section, and the Division’s Safety and Facilities Team. The position is an integral part of the Deputy Commissioner’s staff and interacts with personnel throughout the Division as well as other state agency personnel and the public. On an as needed basis, the position will provide support to the Commissioner’s Executive staff, which includes the Commissioner, Chief Deputy Commissioner, and two other Deputy Commissioners.

The primary purpose of this position is to perform a full range of executive-level duties, including but not limited to, maintaining daily schedules, scheduling appointments, and providing customer service on behalf of the Deputy Commissioner. The position is responsible for coordinating internal and external meetings, which includes logistics, venues, agendas, presentation materials, etc. This position is responsible for maintaining, managing, and prioritizing the calendar for the Deputy Commissioner. The position also manages matters related to travel for the Deputy Commissioner. The position also assumes and performs administrative-support duties, including copying, mailing, processing purchase orders and invoices, completing expense reports, drafting and preparing correspondence, and receiving visitors for the Deputy Commissioner. Provides proofreading, word processing, and graphics support, as needed.  Organizes and maintains filing systems, answers phones, works on a team of administrative professionals, and provides backup for other staff, as needed, and directed.
The position will provide outstanding and timely administrative support to the Deputy Commissioner applying independent judgement, making decisions within established guidelines, and maintaining confidentiality. Maintains professional behavior and interactions with department heads and other staff to coordinate daily activities on behalf of the Deputy Commissioner.

The position also coordinates the fixed assets audit for the Commissioner’s Office. The person in this role will be responsible for the on-boarding and separation of staff within the Commissioner’s Office and the sections reporting to the Deputy Commissioner. The position will be responsible for other duties as assigned.
