Position Overview: We are seeking a detail-oriented, organized, and proactive Administrative Assistant to join our team. This role is crucial in ensuring the smooth operation of our office and supporting our administrative functions.
Key Responsibilities:
Manage daily office operations with efficiency and professionalism.
Order and maintain office supplies and equipment inventory.
Track and manage employee certification due dates to ensure compliance.
Process applications and assist in employee onboarding procedures.
Conduct background checks for prospective employees.
Coordinate and schedule employee trainings.
Utilize Microsoft 365 extensively, particularly Excel spreadsheets and formulas, to manage data effectively.
Manage calendars and schedule appointments.
Handle phone calls and emails with professional phone etiquette.
Enter data into our computer system with accuracy and speed.
Maintain organized and secure office records and employee records.
Provide administrative support to team members as needed.
Assisting with new employee applications, background checks, and onboarding procedures.
Enter employee files into FOCUS system.
Schedule employees for trainings.
Help facilitate employee trainings.
Add employee files to digitalized platform.
Complete grocery shopping for all group homes (online).
Assisting team members as needed to keep workflows efficient and organized.
Keeping organized and secure office records for compliance and efficiency.
Monitoring due dates and ensuring employees stay up to date with required certifications.
Qualifications:
Excellent organizational skills with a keen attention to detail.
Proficient in Microsoft 365 applications, especially Excel.
Ability to work independently without constant supervision.
Strong problem-solving skills and a proactive mindset.
Ability to take direction and follow instructions accurately.
Excellent communication skills, both verbal and written.
Prior experience in administrative roles is preferred.
Work Hours and Benefits:
Hours: Monday to Friday, 8:00 AM to 5:00 PM with a one-hour lunch break.
