The hours of operation for our clinic are:

8 AM-5 PM Monday – Friday (These are the hours that most staff is expected to be present and/or working, split between part time and full timers).
We break for lunch from 12-1. (There may be additional hours or meetings required for planning and education, but we also believe in having a life, too!)

Here is an outline of the responsibilities you may be tasked with:

Greet and assist patients, caregivers, and visitors at the front desk with warmth and professionalism
Manage phone lines—answer calls, return voicemails, direct inquiries, and track leads
Schedule, confirm, and adjust patient appointments while coordinating with internal teams
Support new patient intake, insurance verification, and collection of required documentation
Maintain communication logs, follow up on referrals, and request/follow up on medical records
Coordinate with vendors and partners for clinic needs (e.g., medical equipment, scrubs, transportation services, marketing materials)
Assist with clinic operations—track inventory, manage supplies, support building and office maintenance
Monitor and respond to digital communications (emails, texts, Google Chat, etc.) throughout the day
Support onboarding of new hires, including organizing training schedules and materials
Help plan and support events, in-services, meetings, and travel logistics as needed
Provide general administrative support and jump in where help is needed to keep operations running smoothly
Be flexible and ready to pivot quickly—this role requires frequent task-switching and the ability to adapt in a fast-moving environment.

You shall also POSSESS THE FOLLOWING QUALIFICATIONS:

Minimum 5 years of experience in a fast-paced healthcare setting.
Exceptional multitasking and time management—you can juggle calls, emails, appointments, and interruptions without dropping the ball.
Strong communication skills—both written and verbal, with a professional and friendly tone towards patients, caregivers, vendors, and staff.
Comfortable using technology (Google Workspace, scheduling software, messaging platforms, spreadsheets, etc.) and learning new tools quickly.
Highly organized and detail-oriented, especially when handling referrals, records, inventory, and follow-ups.
Proactive problem-solver—you take initiative and step in where needed without waiting to be asked.
Reliable and consistent—you show up on time, follow through, and support your team.
Comfortable working with confidential information and following HIPAA guidelines.
High school diploma or equivalent required; Associate’s degree or higher a plus.

Job Type: Full-time

Pay: $65,000.00 – $68,000.00 per year
