The Front Office – Administrative Architectural Assistant serves as the first point of contact for visitors and assists general office activities and support with administrative tasks. They perform administrative tasks like documentation, editing, filing, organization and managing the architectural review process for homeowner improvements, and acts as a liaison between homeowners, architectural committees and internal departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Greet and assist visitors in professional manner. Maintains front office appearance and all supplies for each office, including satellite offices.
Answers routine call and route to appropriate departments.
Manage and coordinate administrative support services, facilities, security, mail distribution, record management.
Support coordination and scheduling of meetings.
Receive, review and process architectural applications in accordance with community standards and CC&Rs.
Coordinate with architectural review committees for timely approval or denial of submissions. Communicate decision to homeowners and provide guidance on required revisions.
Maintain accurate records of all applications, decision and correspondence.
Support enforcement of architectural standards in coordination with all compliance.

Requirements:
Two years of administrative experience.
Strong organizational and project management skills.
Must possess excellent communication skills, empathy and a person-centered approach to support.
Preferred prior experience or coursework in community management, property management, or real estate helpful.
Computer proficiency with Microsoft Office including Word, Excel and Outlook.
Ability to manage multiple priorities and deadlines.
Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.)
Knowledge of conflict resolution techniques at a proficient level.
Professional communication skills (phone, interpersonal, written, verbal, etc.)
Self-motivated, proactive, detail oriented and a team player.
Time management and time critical prioritization skills.
