GENERAL DESCRIPTION:

This position is Administrative Support staff deployable to various program areas to provide administrative support (registration, fee collection and eligibility, processing and managing charts, telephone management and medical records) include: Central Intake, Family Planning, Sexually Transmitted Diseases, Tuberculosis, Immunization, Adult Health, Maternal Health, Laboratory, Pharmacy, and HIV Testing and Counseling. This means that all activities for receiving clients, collecting statistical and financial data, routing clients to providers, scheduling appointments and follow-up visits are handled by this staff.

DUTIES AND RESPONSIBILITIES:

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

This position assists the Processing Unit Supervisor create manuals for staff procedures and methods of operation;
Assist in developing clerical procedures to assure consistent communication of processes to be followed in clinic area;
She/he assists in the designs and revision of forms for use in completing the tasks assigned (e.g. registration screens, reporting forms for funds collected and services provided);
This position assists the Processing Unit Supervisor in implementing new programs, procedures, and systems in consultation with management level staff;
Assists in the reviewing of the work associated with eligibility, scheduling and registration;
Provides customer service and provides problem solving;
Assists the Processing Unit Supervisor with program audits and quality assurance measures;
Coordinates the distribution of the Customer Service Survey Questionnaire;
Distribution, collecting, and informing staff of the survey time;
Performs other related tasks as required.

KNOWLEDGE, SKILLS, AND ABILITIES:

This position requires general knowledge of office and administrative techniques;
Ability to practice effective communication techniques, both orally and in writing;
Ability to communicate effectively in person and by telephone;
This position requires effective customer service skills and an ability to understand and contribute to the process of creating effective policies and procedures;
This position requires a working knowledge of office and administrative software and an ability to provide needed training for software used;
Working knowledge of spelling, punctuation and vocabulary;
Limited knowledge of office practices and procedures;
Ability to arrange and place records, reports, files and other documents into a defined sequence;
Ability to screen and refer communications using defined procedures;
Ability to learn and use a variety of standard and special office equipment;
Ability to perform simple arithmetic calculations.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

Graduation from high school; or an equivalent combination of training and experience.

Tuberculosis (TB) baseline screening within the last twelve (12) months prior to employment
Hepatitis B vaccination/immunity – only required for DCoDPH employees with potential Bloodborne Pathogen (BBP) exposures.

Identified DCoDPH HCP with potential Bloodborne Pathogen (BBP) exposure have an additional requirement for the Hepatitis B vaccination. Required vaccination, serological testing to determine immunity, and baseline tuberculosis screening are available for all Public Health employees who elect to become DCoDPH patients upon request and at no cost.

Proof of vaccination and tuberculosis screening must be provided to Human Resources within seven (7) business days prior to the date of employment.
