Job Description
Administrative Assistant/Graduate Program Manager
This position involves managing daily operations for the School of Communications main office, which comprises four academic sequences, one bachelor’s degree program, and one master’s degree program. The responsibilities of this position include the following: hiring and supervision of office staff, course scheduling, academic support to faculty and students, and administration of the graduate program. This position serves as a liaison between the public, faculty/staff, and BYU administration.
What you will be doing in this position:
Academic Support
Coordinate course scheduling, faculty assignments, and admissions processes for the school, while serving as a key liaison between students, faculty, and staff to support academic planning, access to course materials, and enrollment procedures.
Administrative Support
Serve as the HR Operations Specialist and administrative coordinator for the school, managing hiring processes, supporting leadership with reports and correspondence, scheduling meetings and trainings, and maintaining calendars, while ensuring a professional environment and high-quality service to all stakeholders.
Graduate Program Management
Oversee all administrative aspects of the graduate program, including class scheduling, admissions, student progress, and event planning, while actively participating in Graduate Council discussions, university trainings, and recruitment efforts.
Front Office Management and Supervision
Supervise student office staff and manage front office operations, ensuring accurate recordkeeping, timely communication of university policies, and oversight of office supplies and resources.
What qualifies you for this role:
Minimum education/experience required: Bachelor’s degree plus three year’s office administrative work experience or the equivalent combination of education and office experience.
Preferred: Bachelor’s degree with additional five years’ experience in administrative work
Skills and Abilities:
Must be able to interact with employees at all levels in the organization to collect and disseminate information (required)
Ability to develop thorough and detailed knowledge of school procedures, sufficient to lead organizational initiatives (required)
Experience with BYU systems, including Course Dog, Workday, Slideroom, and AIM (preferred)
Ability to take minutes and use technology to create detailed records of meeting (required)
Ability to use technology for streamlining processes (required)
Advanced personal computer skills and demonstrated advanced proficiency with MS Office, Word, Excel, Outlook (required)
Ability to prioritize work and meet deadlines (required)
Supervision experience (required)
Proven proficiency in administrative support functions (required)
Strong analytical and problem-solving skills and attention to detail (required)
High level of writing and verbal communication skills, strong decision-making ability and attention to detail (required)
Ability to handle multiple tasks and projects simultaneously (required)
Ability to maintain a high level of confidentiality (required)
Excellent organizational and time management abilities (required)

Compensation Range
Actual compensation based on education and experience
$22.00 – $28.57
