Job Description
The Administrative Specialist provides higher-level administrative and specialized program support for
the USF Research, CARE (Compliance Analytics, Risk and Ethics), Research Integrity and Compliance
(RIC) programs. This position supports administrative, operational, and compliance-related activities
across CARE/RIC and functions as a shared administrative resource for the team. The role performs a
wide range of administrative and program support duties, including coordinating meetings and calendars,
preparing correspondence, reports, and presentations, supporting training, assisting with meetings and
record keeping, and facilitating document routing, signature workflows, and administrative follow-up. The
position requires the use of judgment, discretion, and strong organizational skills and supports
leadership, program staff, and internal and external partners.
This position typically reports to an Assistant Director and supports CARE, Research Integrity, and Compliance program operations. The Administrative Specialist performs a variety of administrative duties ranging from general office support to complex administrative coordination and compliance documentation. This is a higher-level office support position within the USF Research CARE requiring advanced administrative skills, attention to detail, and proficiency with standard desktop applications.
Responsibilities
The responsibilities for this position include:
- Respond to and initiate inquiries related to CARE/RIC operations, including questions regarding meetings, and program administration; explain policies, answer questions.
- Coordinate calendars, schedule meetings, and assist with planning and prioritizing appointments for Assistant Directors and program leadership.
- Plan and support internal and external meetings, including preparing agendas and meeting materials, meeting set-up, confirming attendance, and providing follow-up support.
- Prepare, format, edit, and distribute correspondence, memorandum, letters, reports, presentations, committee communications, MOUs, inspection letters, and other compliance-related documentation.
- Assist with preparation of PowerPoint presentations, meeting packets, surveys, and outreach materials.
- Perform specialized administrative duties to support CARE, Research Integrity, and Compliance programs, applying discretion and sound judgment within established operating guidelines.
- Maintain organized electronic and physical records related to meetings, correspondence, reports, training and compliance documentation.
- Track deadlines and follow up on pending approvals, signatures, reports, submissions, and administrative requests to support continuity of operations.
- Compile, research, gather, and maintain information from databases, documents, and institutional systems as needed for administrative and reporting purposes.
- Perform other administrative and program support duties as assigned to support the mission and function of CARE, Research Integrity, and Compliance.
- Serve as a point of contact for internal and external inquiries related to program operations. Initial point of contact for RIC main phone number line.
- Maintain organized records and files for compliance, inspections, agreements, and approvals.
- Performs other duties as assigned.
Qualifications
Minimum Qualifications
This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications
Experience providing administrative support within a university, research, compliance, healthcare, or regulated environment.
Experience with document routing, signature workflows, and meeting support. Experience preparing official correspondence, reports, and presentations. Familiarity with university administrative systems and procedures.

Hiring salary range: $38,916 – $47,000.
