Full Job Description

Under the direction of the Operations Manager, the Administrative Specialist is responsible for performing a broad range of administrative duties requiring considerable experience, skill and knowledge. The Administrative Specialist is required to exercise good judgment in making day-to-day decisions. The incumbent ensures all general duties related to servicing the buildings, are executed with exceptional service for the Tribal Community, team members and visitors. This role performs a variety of administrative and personal assistant duties including conducting research, preparing correspondence, planning meetings, providing purchasing/payroll support, and maintaining calendars and schedules. The Administrative Specialist is also responsible for other projects and job duties as defined by the Operations Manager and any other duties as assigned.

Essential Duties & Responsibilities

1. Answers incoming calls on a computerized multi-line phone system, determining the purpose of calls and forwards them to the appropriate personnel or department.

2. Assists and interacts with Tribal Citizens, executives and dignitaries with professional demeanor, clear and courteous communication skills.

3. Acts as support to the Operations Manager by attending meetings, and taking notes for direction and follow up.

4. Processes invoices for various vendors through Lawson.

5. Responsible for preparing and monitoring the payroll reporting for Office of Tribal Community Services.

6. Works collaboratively with various departments on programs and/or special events for the Community Center or Tribal citizens at the Community Center park/pavilion, Kiic Attiauc and Arrowhead Springs

7. Welcomes onsite guests, determines nature of business, announce guests to appropriate personnel.

8. Ensures all incoming and outgoing packages are logged in and that intended recipients are notified promptly via email and/or phone as per established procedures. Ensures that the logs are completed and proper signatures are obtained.

9. Ensures that incoming mail is date stamped accurately and that outgoing mail is metered with the appropriate date and postage and delivered timely to the 1st floor for scheduled courier pick-up.

10. Performs other duties as assigned to support the efficient operation of the department.

Education/Experience/Qualifications

High School diploma or general education degree (GED) required.

Minimum one-year related experience and/or training in administrative work preferred.

Must have recent computerized multi-line phone experience preferred.

Basic computer skills and comprehension of appropriate software packages, including but not limited to MS Outlook, MS Word and MS Excel.

Demonstrated experience in coordinating several tasks at once, set priorities and detailed oriented, particularly callers/ guests names and their spelling.

Must be a self- starter, personable and professional, demonstrating great interpersonal skills and capable of using caution and discretion in communication.

Certificates/Licenses/Registrations

At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.

A qualified candidate/employee must have a valid driver’s license with an acceptable driving record as determined by the company’s insurance carrier.
