REQUIREMENTS:
Education: High school diploma, general education degree (GED), or equivalent experience.
Customer-Service/Communication Skills: Able to make a great first impression by being friendly, organized, and knowledgeable about the company. Must be able to listen to customers and management, and speak in a clear, friendly manner over the phone and face-to-face.
Computer Skills: Able to use multi-line phone systems, use Gmail to answer emails, and potentially learn industry specific software.
RESPONSIBILITIES:
Greet customers and direct them to the appropriate person or department
Answer incoming calls and direct them to the appropriate person or department. Turn on/off answering service/ rolling phones, liaison with IT on phones and internet connectivity
Handles internal and external mail appropriately
Process cash, check, and credit card transactions and file, mail checks and alphabetize check stubs for filing, send checks to accounting in East Knoxville. Email credit card receipts to customers as directed (ex. Vulcan CC statement reconciliation)
Process and reconcile Cat Commercial Card (Fast Iron) transactions, the daily credit card batch
Prepare cash deposits and balance the Parts cash boxes, prepare a petty cash/check/credit card worksheet create receipts for cash transactions and send it to accounting in East Knoxville
Stamp Parts Invoices to be coded and verify vendor numbers for accounts payable invoices. File parts tickets and replace files in the parts warehouse
Collect and check off company fuel receipts on monthly Pilot Report and organize receipts by Card Number for filing
Collect and organize IFTA forms and key info into spreadsheets for quarterly report
Bill delivery charges to customers for the Parts Department and file Bill of Ladings
Report facility maintenance issues to the Facility Manager, process Facility landscaping, and janitorial invoices
Ensure current business license is properly displayed and manages flag ½ staff when needed
Inventory office supplies and order as needed, including color copier toner and maintenance kits
Mail out Vendor Status Letters annually, collect incoming return letters, enter info onto spreadsheet, and store in binders
Miscellaneous duties as assigned
