The Senior Administrative Associate – IT assists and supports the Leadership Team with highly skilled administrative work, including planning, implementing departmental programs and projects, and executing administrative activities.

Essential Job Duties

Provide respectful, professional, positive service in all interactions between co-workers, internal external customers, community members, and the public at large.
Maintain a positive and productive environment ensuring compliance with policies, procedures, goals and objectives of the City, Department and Division.
Provide administrative support to the Leadership Team.
Provide customer service to city employees, residents, developers, and other community leaders by phone, email, and in-person.
Maintain and keep records for department or division.
Update various City website pages.
Provide research, data analysis, and report creation support.
Provide staff support to various boards and commissions by scheduling meetings, preparing agendas, and maintaining records.
Assist in researching, preparing, and monitoring department budget and expenditures.
Draft correspondence, create and update forms, brochures, and other documents.
Handle department purchasing. Code purchase card transactions monthly. May handle department travel requests.
Participate in Records Management/Document Imaging, including filing, indexing, scanning, researching, retrieving, copying, distributing, and destroying records.
Collaborate with co-workers as necessary to complete tasks and meet targets.

Job Qualifications – Education, experience, and training that are required or desirable in order to effectively perform the job at the time of hire. An equivalent combination of education, training, and experience will be considered. Additional requirements and/or substitutions may be requested and require the approval of HR.

High school diploma required.
Additional job experience may be considered in lieu of education.
Minimum of four years of related experience required
Additional job-related degrees or certifications may be considered in lieu of experience.
Prior experience in Information Technology or Office Administration is desired.
Valid driver’s license required.

Knowledge, Skills, and Abilities – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with this position.

Knowledge of City operations, policies, and procedures.
Ability to provide exceptional service to internal and external customers. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Attention to detail and the ability to maintain focused concentration.
Proficiency in the use of basic business software (word processing, spreadsheets, email, presentations) and basic office equipment.
Ability to create documents, spreadsheets, presentations, flyers, and graphics.
Ability to produce reports, enter data for budgets, and process purchase orders through the City’s financial software.
Ability to collect data, analyze subjects, and research information.
Ability to communicate effectively both verbally and in writing.
Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
Ability to effectively organize and prioritize routine and non-routine tasks to meet deadlines.
Ability to concentrate on multiple tasks simultaneously and to follow through on processes from end-to-end.
Ability to work independently with moderate or little supervision on moderately complex assignments and projects.
Ability to anticipate and complete tasks based on defined processes and timelines.
Ability to work collaboratively in a team environment.
Regular attendance is a necessary and essential job duty. Job requires being reliable, responsible and dependable.
