Job Description

Impyrian is seeking a diligent and committed administrative professional to join our team in Alexandria, VA. This role is in direct support of our USPTO customer’s mission and is perfect for those who are eager to excel, contribute significantly, and be part of a respectful, collaborative, and excellence-driven environment. The ideal candidate will provide administrative support in an office to staff at all levels while maintaining a close and highly responsive relationship to the day-to-day activities of the Project Manager and staff and work independently for most tasks. Will be primarily responsible for performing varied clerical and administrative duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. May also perform a variety of secretarial duties, such as preparing standard correspondence, reports, and memos using a word processor, maintaining computer-based and paper files, answering, and screening calls, and opening and distributing mail for a department or unit. This role requires a willingness to travel locally at times to hand deliver critical documents and provide excellent customer service both via phone and in person.

Responsibilities

Processing and logging invoices, adhering to contracted procedures and accounting principles.

Resolving issues related to funding or contract effective dates.

Liaising with program offices, vendors, and financial system help desks.

Managing and certifying receipt and acceptance of goods and services.

Tackling invoice payment-related issues daily.

Handling invoice documentation and routing payment vouchers for approval.

Performing additional duties as assigned.

Qualifications

High school diploma or GED; an associate degree preferred.

Momentum system experience is advantageous.

Excellent verbal and written communication skills.

Proficiency in MS Office (Word, Excel, Outlook).

Detail-oriented with the ability to work in a steady-paced environment.

Capable of working under pressure to meet deadlines.

Strong customer service orientation and the ability to work independently.

Commitment to completing tasks within given instructions, routines, and practices.
