Description of Work

This is a full-time position (40 hours per week) with State Benefits, including health insurance, paid vacation, paid sick time, paid holidays, as well as retirement.

The primary purpose of the Administrative Associate II is to function as the administrative support position for the Division of Institutions Administrative Services section. This position will report directly to the Administrative Specialist II for the Director of Administrative Services. The Major Duties of this Position:

Number of vehicles assigned.

Inspection and repair records.

Physical location of all assigned vehicles.

Process FM30 (vehicle assignment change forms) and track progress in related systems (Traxware, MFM system, Sharepoint), follow up as needed to expedite.

Generate and assess vehicle utilization reports for each vehicle, including the number of miles driven per month and the number of days driven per month, address underutilization concerns.

Oversee parking requests and locations.

Maintain commuter information

Maintain driver verification documentation, including a copy of each driver’s license.

Verify new hire compliance with North Carolina driver’s license policies.

Prepare and provide new hire with training materials, policies, and other vehicle-related

information. Track accident-related data, including accident reports and police reports, follow up on
outstanding or unresolved claims.

Handle misuse complaints, citations, and agency responses. Enter motor vehicle complaint information into master data sheet (log), CTS, and initiate investigations with chain of command, track progress, and close out as needed.

Track resolution of moving violations, driver MV points, and parking citations.

Ensures all matters of a confidential nature are not shared or revealed according to policy and procedure.

If selected for this position, a new salary will be recalculated taking into consideration the quantity of relevant education and experience, funding availability, and internal equity. Based upon these factors, a pay increase/decrease MAY result.

The Dept. of Adult Correction is responsible for the care, custody, and supervision of all adults sentenced after conviction for violating North Carolina laws. This department includes State Prisons with custody, healthcare, and facility operations staff as well as the division of Community Supervision. Other divisions include Administration, Compliance & Accreditation, Comprehensive Health Services, Internal Affairs & Intelligence Operations, Post-Release Supervision & Parole Commission, and Rehabilitation & Reentry.

Knowledge, Skills and Abilities / Competencies

The Knowledge, Skills and Abilities listed below, along with the Minimum Education and Experience requirements, are REQUIRED to qualify for this position.

To qualify for this position, applicants must document in the Description of Work section of their application that they possess ALL of the following were applicable:

Documented experience answering a multi-line phone system.
Documented experience in Microsoft Suite at the intermediate level.
Must have current, active Class C NC Driver’s License.

High school or General Educational Development (GED) diploma and one year of administrative experience;
