Job Description:

Automation Services is need of a new, full-time, Office Administrator. The primary role of this individual is to manage the phones, part ordering, tracking part orders, associated accounts and invoicing and other activities that support the Office Manager. This individual is expected to be an organized and self-starting individual who can work well in a team across different departments at all levels within the organization. They will also work frequently with our suppliers and vendors. Given that this job demands a lot of follow up with different entities, in and outside of the company, good communication skills are essential. Willing to train the right candidate.

Roles and Responsibilities:

– Greet visitors and manage telephones

– Handling accounts payable/receivable and collections

– Purchase office supplies, automation components and materials

– Track automation component purchases

– Invoicing and payments to customers and suppliers

– Day to day basic accounting using QuickBooks and in-house company software

– Assist with payroll, employee on/off-boarding, benefits and various HR responsibilities

– Assist with day to day office tasks

– Assisting with shipping/receiving responsibilities

Qualifications:

– Able to work full-time (40 hours, Monday-Friday)

– Great communication skills (written and verbal)

– Organized

– Good attention to detail

– Highly motivated

– Willingness to learn

– Proficient in the use of current Microsoft Office tools (Word, Excel, Outlook, Teams, PowerPoint)

– Strongly Preferred – Knowledge of QuickBooks software
