Position Overview:

We are seeking a highly skilled and motivated Executive Assistant to provide exceptional support to our CEO & CFO. This role is pivotal in ensuring both leader’s productivity. The ideal candidate will be an organized, proactive, versatile, and professional with a strong combination of problem-solving capabilities, interpersonal skills, leadership qualities, and functional knowledge. You’ll remember food allergies, restaurant preferences, birthdays, anniversaries, and always add that personal touch to anyone you’re interacting with. But you’re no pushover- you know how to be a kind and effective gatekeeper and manage your executive’s most valuable resource wisely, their time.

This is an in-office role, currently at 5 days per week. The offices are located at 55 W. 46th St, NY NY 10036.

What you’ll do:

You’ll be supporting two of our top C-Suite Executives here at Hunter Douglas, and since no two days look alike for them, neither will yours. You’ll switch gears seamlessly between the types of activities you’re doing and people you’re interacting with. Some typical tasks include:

Act as a trusted partner to the CEO & CFO, addressing issues, and proposing innovative solutions.
Conduct research to provide insights on challenges.
Anticipate potential problems and implement preventative measures.
Serve as a point of contact between the CEO & CFO and internal/external stakeholders as needed.
Cultivate and maintain strong professional relationships with various audiences both internal and external.
Manage the CEO & CFO’s calendars and communications effectively, ensuring their time is optimized for high-priority tasks.
Outstanding interpersonal and communication abilities.
Lead and manage special projects and initiatives on behalf of the CEO & CFO.
Represent the CEO & CFO in communications and interactions when required.
Support in the preparation of board materials, presentations, and reports.
All other duties as assigned

Who you are:

Possess a deep understanding of the company’s processes, policies, and key contacts.
Proficiency in relevant software and tools (e.g., Microsoft Office Suite, project management software).
Proven experience in a similar role supporting high-level executives.
Discretion and the ability to handle confidential information.
Exceptional time management and organizational skills.
Adaptability and the ability to work in a fast-paced, dynamic environment.
Attention to detail and a commitment to delivering high-quality work.
A collaborative and team-oriented approach.
