Company Overview: We are an established and rapidly growing furniture company seeking a dedicated Administrative Assistant to join our team in our Alhambra, CA office. This full-time position will support our project management and logistics teams with various office duties to ensure smooth operations.

Role Overview: As an Administrative Assistant, you will handle a variety of tasks including organizing and maintaining files and databases, managing communications, and supporting daily office functions. This role requires a proactive individual with strong organizational skills and the ability to handle shifting priorities effectively.

Key Responsibilities:

File and Database Management: Organize, update, and maintain office files and databases with a focus on confidentiality and accuracy.
Communication Management: Handle incoming and outgoing communication, including managing emails, phone calls, and in-person inquiries to ensure timely and professional responses.
Mail and Deliveries: Receive, sort, and distribute incoming mail and packages. Assist the project manager with receiving, sorting, and shipping samples, ensuring all processes are handled efficiently.
Office Coordination: Provide general office support, including scheduling meetings, coordinating with vendors, and managing office supplies and equipment.
Documentation and Data Entry: Perform accurate data entry tasks and assist with document preparation and record-keeping.
Administrative Support: Assist project management and logistics teams with administrative tasks, including preparing reports, tracking project progress, and handling special requests.
Customer and Client Interaction: Greet visitors, handle inquiries, and provide support to clients and colleagues, ensuring a professional and welcoming office environment.

Skills and Qualifications:

High school diploma or GED required; Associate’s degree or Bachelor’s degree preferred.
Minimum of 1 year of clerical, secretarial, or office experience.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong verbal and written communication skills.
Ability to adapt to shifting demands and priorities.
High attention to detail and accuracy.
Data entry experience.
Familiarity with general office equipment.
Proactive with a positive, can-do attitude.
Bilingual in English and Mandarin Chinese is preferred.
