Prior experience working as an Administrative Assistant.
Proficient in Microsoft Office 365 to include Word, Excel, Outlook, Teams, and SharePoint.
Experience in monitoring budgets.
Effective communicator with excellent verbal, written, and interpersonal communication skills.
Demonstrated ability to maintain sensitive and confidential information.
Demonstrated ability to multitask, organize, and prioritize responsibilities, and handle interruptions.
Preferred Qualifications
Prior experience working in an academic setting.
Experience with faculty/staff hiring, PCRs, using P-card, and purchase requisitions.
Knowledge of Adobe products
Knowledge of Texas State University academic policies, systems, and procedures.
Job Description
The Administrative Assistant Ill position is responsible for providing administrative and general clerical support to the program director, faculty, and the chair/director in the Health Sciences program while also working closely with the Dean’s Office in the College of Health Professions (CHP).
This position is housed on the Round Rock campus (RRC).
Job Duties
Coordination with administrative staff at CHP Dean’s Office and TXST Global.
Oversee and manage routine operations of the department.
Serve as receptionist by answering phone, greeting and assisting students, faculty, staff, and visitors and maintaining confidentiality.
Maintain the chair/director calendar and coordinate meetings.
Prepare correspondence for the chair/director and route for appropriate approvals.
Provide departmental support to faculty in the online BSHS programs serving students worldwide and the College of Health Professions TX Global initiative.
Providing departmental support to BSHS students globally to ensure maximum success.
Process hiring paperwork for faculty, staff, and student-employees.
Assist the program director/chair with submitting job postings and PCRs.
Maintain and review staff and personnel files for completeness.
Assist the chair/director with reviewing and approving curriculum changes.
Assist the chair/director with setting up course evaluations for faculty each semester.
Monitor department accounts and reconcile expenditures monthly.
Monitor transactions of the operating budget for the department to ensure compliance with university policies.
Perform budget/financial processes for the department. These include processing budget transfers, resolving over-budget issues, payment requests, e-IDTs and e-NPOs, etc.
Serve as department administrator, monitoring faculty, staff, and student time entries.
Review and process purchase orders, PCard orders, and invoices.
Prepare travel requests and expense reports for reimbursements for the department.
Preparing and maintaining departmental contributions to BSHS marketing materials, recruiting, and retention, as well as display tables for various events including Bobcat Days, conferences, and special tabling opportunities.
Track course registration and enrollment during the registration cycles.
Maintain and respond to inquiries sent to the department email account.
Provide program support using TXST software programs such as Canvas, Banner INB, Course Leaf CLSS, SAP, Gato, and Calico.
Attend university staff development workshops and/or training sessions as appropriate.
General office duties: process key management items, work orders, run errands, order supplies, maintain inventory, troubleshoot, scan/copy materials, and prepare/distribute mail to ensure efficient office operations. Represent the office as a professional environment
Perform other duties as assigned.
