Executive Assistant to the Head of HR
Location: Tallahassee, FL / Onsite

Reports to: Head of HR
Role Summary:
The Executive Assistant reports directly to the Head of HR, provides organizational and administrative support to the Head of HR, and serves as a liaison to the C-Suite, the other department Executive Assistants, and the HR team.
Key Duties and Responsibilities:
Assist the Head of HR with daily administrative duties and complete a broad variety of administrative tasks such as expense reports, invoice processing, file organization/maintenance, and generating reports.
Provide travel support to the Head of HR, including transportation, lodging, preparation of itineraries and assembly of supporting materials.
Manage the Head of HR’s calendar to ensure appropriate time, prioritization, and attention is allocated accordingly to maximize productivity and efficiency. This includes scheduling meetings and revising the schedule as needed, arranging logistics, organizing appropriate supporting materials and files, updating relevant shared calendars, etc.
Draft presentations, organizational and corporate announcements, memos, reports, and other materials to be utilized by the Executive and HR department with diverse audiences, ranging from employee groups, C-suite, and Board of Directors.
Coordinate logistics, agendas, follow up action items, and presentations for several meetings, including weekly HR Leadership Team meetings, department-wide quarterly HR townhalls, bi-annual offsite HR strategy retreats, Compensation Committee preparation meetings, and others as needed.
Support the coordination and assembly of talent reviews and succession planning decks for Board review.
At the request of the Executive, provide administrative support to other HR members as assigned.
Maintain HR department member list; scan and copy where needed; resolve printer issues.
Conduct research as directed to evaluate current needs and assemble materials needed for proposals.
Assist the HR budget by researching invoices, following up on items, and tracking budget versus actuals.
Draft reports, letters of solicitation, and proposals; prepare and coordinate written communication.
Responsibilities will be diverse and require incredible attention to detail, a sense of urgency, utmost confidentiality and impeccable integrity.
Perform other duties as assigned.
Requirements:
Bachelor’s degree or equivalent experience
5-10 years providing support for upper-level management, preferably in the Human Resources field
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Ability to learn and operate HRIS systems
Excellent writing, editing, grammatical, organizational, and research skills
Advanced proficiency in Windows, including MS Word, Excel, PowerPoint, and data management systems
Ability to work independently and with professional discretion
Excellent time management and problem-solving skills
Ability to work with a broad range of people including Board members, HR staff, and other colleagues
Must be able to pass a level 2 background check

Salary will be commensurate with experience. A comprehensive benefits package including paid time off is offered with this position. This position will work an average of 40 hours per week and will be available “after hours” if an emergency situation should arise.
