Job Description:

Provide administrative and office support activities for supervisors and/or departments to facilitate efficient operation of the organization and related areas.

Position Description Under limited supervision and acting on own initiative, perform a variety of administrative duties for Directors, VPs, and Heads of Function. Work assignments require a thorough knowledge of functional practices and procedures, company products, policies, and programs, as well as strong proficiency with company provided software.

Tasks and Responsibilities

1. Communications, Knowledge, and CRM Governance

* Manage CA email distribution lists in IMP and communicate updates via Outlook while safeguarding confidentiality.

* Maintain CA organization charts (PowerPoint) and publish to Teams for admin access.

* Own information architecture and document management in Teams/SharePoint (teams, folders, permissions, structure).

* Maintain/contribute to departmental databases and processes (e.g., ConvergePoint for Guidelines/SOPs; LCM/NDA; eMOC tasks).

* Support SPOC with LEADS and inquiries in C4C.

2. People, Scheduling, and Site Operations

* Manage business travel and executive Outlook calendars as requested.

* Create internal meeting requests, book rooms, and submit building/service requests.

* Execute onboarding for new CA employees (workspace tools, office items, nameplates).

* Oversee physical mail delivery for CA (Building 8).

* Serve as focal point to schedule laboratory tours, coordinating with lab personnel.

3. Procurement, Finance, and Compliance (Lab and Assets)

* Create purchase requisitions and manage the PO process; obtain quotes; verify and approve invoices.

* Process CA MarCom monthly P card expense reports (tradeshows/conferences).

* Order lab supplies and sample materials in support of the CA lab leader.

* Coordinate annual asset inventory reconciliation across CA NA cost centers and update SAP records.

* Assist with quality audit preparation and conduct self audits of quality/safety equipment records (IMS/HSEQ).

Education

* High school diploma with 8+ years supporting executives; or associate"s degree with 6+ years supporting senior executives.

Basic Qualifications

* Ability to manage multiple competing priorities.

* Strong interpersonal skills.

* Highly organized.

* Able to work effectively with employees at all levels of the organization.

* Demonstrated ability to handle sensitive and confidential information.

Preferred

* Experience supporting executive level managers.
