Receptionist / Warranty Admin Job Description
JOB SUMMARY:
Responsible for representing the organization professionally by answering incoming calls, properly routing them, taking messages, assisting customers with information and greeting visitors as needed. Assisting warranty department with service calls and scheduling.
ESSENTIAL FUNCTIONS
Receptionist / Warranty Dept Assistant
FLSA: Non-exempt
Key duties / responsibilities / accountabilities
1. Demonstrates proficient telephone etiquette and excellent communication skills. Ensures that multiple lines are handled efficiently.
2. Demonstrates proficient administrative and data entry skills.
3. Completes daily activities with minimal direction and supervision.
4. Routes calls or takes message accordingly.
5. Assures that customers are handled efficiently and in a timely manner.
6. Performs other specific projects relating to data entry, phones, and customer service.
7. Utilizes all software applications appropriately to assist customers and perform job functions.
8. Communicates with all departments to intelligently service callers.
9. Assures that front desk is covered at all times, when necessary.
10. Will be in charge of ordering all office supplies and keep inventory to ensure low stock is replenished.
11. Enter service work orders in Marks system and keep track of them to ensure they are closed in a timely manager
12. Work closely with Warranty Manager to schedule blue tape and final walk throughs as well as, service calls and 1 year walk throughs.
13. Work with vendors as needed by Warranty Department to ensure product needed is ordered and keep Marks system updated so home owners can refer to their work order status.
14. Other duties as assigned.

1. Relates well to employees, home owners/clients, realtors, vendors and all office visitors.
2. Speaks knowledgeably of the organization’s scope of services, and description is accurate.

QUALIFICATIONS
Minimum Qualifications
1. Minimum of high school diploma
2. Two (2) years customer experience or related field.
3. Bi-lingual English/Spanish a plus but not required.
4. Must adhere to all company policies including but not limited to personal hygiene and dress code.
ENVIRONMENT and COGNITIVE /PHYSICAL DEMANDS
· Office environment
· Ability to read, hear, speak, keyboard, and reason and problem solve.
· Requires prolonged sitting and telephone usage.
· Requires the use of office equipment such as computer terminals, telephones or copiers.
· Requires normal vision range.
· Infrequent lifting up to 15 pounds.
