OFFICE ADMINISTRATIVE ASSISTANT
Job Description
Summary: Assist with general office tasks to include phone assistance, office supplies orders, scanning, filing, and small projects as assigned. Coordinate the bidding process for a mid-sized paving and sitework contractor. Build relationships with customers, subcontractors, and vendors while facilitating and improving an efficient sales system. Assist in other administrative areas, as needed.
Essential Functions:
Answer and manage incoming calls and manage Star 2 Star system.
Greeting Customers and visitors.
Meeting/Event planning as needed.
File, scan, fax, copy, print plans and reports and manage documents as needed.
Sort mail and pick up mail.
Inventory and order office supplies as needed.
Assist in maintaining updated Insurance certificates for Vendors.
Renovation incoming calls/outgoing estimates tracking spreadsheets.
Perform other duties and responsibilities as assigned by the Supervisor.
Assist with social media posts.
Assist with Marketing programs as needed.
Estimating Department Assistance Functions:
Assist with initiating the bid process (Bid file setup- as directed).
Assist with qualifying new subcontractors/vendors – as directed.
Assist with maintaining and updating the Bid Files-as directed.
Maintain bid statuses updated (Active vs. Lost vs. Awarded) within Bidding software.
Facilitate constant communication between Customer & Estimating Team.
Continuously check GC/Municipalities websites for new solicitations.
Other Functions
Miscellaneous purchasing.
Assist other departments, when needed.
Assist with special projects, as needed.
Job Requirements
High School Diploma, GED, or the equivalent preferred.
Prior office experience with multiple tasks.
Valid Florida Driver’s License.
Good communication skills.
Ability to follow instructions well.
MS Office proficient (Word, Excel, Outlook, PowerPoint).
