Health System, Inc, is seeking an Office Manager for the Lunenburg Medical Center location. The Office Manager works as part of the Patient Care Team to perform the administrative duties necessary to coordinate office operations and procedures and ensure a smooth patient flow consistent with the mission statement of SDHS. The Office Manager directly supervises the front office staff and oversees the administrative activities at the site. Under direct supervision of the CFO, the Office Manager plays a critical role in the delivery of quality, patient- centered medical care within the context of a federally qualified community health center (FQHC).
Duties, include but are not limited to:
Serves as a mentor and provides leadership to administrative office staff.
Shall be responsible for coordinating site specific operational needs, to include, but not limited to, informing patients of closings or rescheduled appointments, change to the patient schedule template, workflows, and serve as a liaison between departments.
Collaborates with the clinical staff and utilizes the EMR modules and other methods of communication to monitor, prioritize, and ensure a smooth patient flow with minimal wait times.
Strives to maintain a smooth workflow between departments and collaborates with other department supervisors as necessary.
Serves as back-up PSR as necessary to maintain sufficient staffing of front office. Trains new hires as needed.
Develops and coordinates the provider work schedule, as approved by the Chief Medical Officer.
Performs such duties as creating scheduling rules, scheduling templates, creates ticket workorders to EMR vendor when necessary, and serves as support for other staff members when questions or concerns arise.
Provides support and input for management team on administrative-related projects as necessary.
Addresses patient concerns and assists patients with conflict and problem resolution.
Qualifications:
High school diploma or equivalent.
Sufficient experience and skills necessary to perform the duties of this position. A minimum of 5 years relevant experience in a medical office setting is required.
Working knowledge of MS Office products and computers and the ability and willingness to learn.
Working knowledge of office equipment, i.e. scanners, printers, copy machines, telephone system, fax, and credit card machine.
Excellent oral and written communication skills and customer service skills.
Ability to relate with warmth and effectiveness to the staff, patients, and providers of Southern Dominion Health System, Inc.
Demonstrates a strong sense of leadership and the ability to serve as a mentor and leader to supervise staff.
Demonstrates a strong working knowledge with insurances and payors.
